The foundation is strong, we need a people, process, production leader to free up the entrepreneur/visionary time so she can focus on consoling clients in the conference room, marketing and visionary role. This boutique yet growing Estate Planning law firm needs this critical role to support their mission and goals. You’ll have the opportunity to identify what’s getting in the way, solve problems at their root, create structure where there is ambiguity, and turn a founder’s vision into a scalable, high-performing organization.
You’ll help create the conditions that allow the attorneys and team to spend more of their time doing the work that matters most—serving clients, practicing excellent law, and building meaningful relationships.

The Opportunity
We’re looking for a strategic, hands-on Director of Operations who wants to help turn an ambitious vision into reality. EOS or Scaling framework or experience is a bonus.
What You’ll Own
Operations & Infrastructure
You'll build and strengthen the operational backbone of the firm by:
- Optimizing and maintaining workflows within Lawmatics, Clio, and other core business systems
- Creating scalable systems, workflows, and quality controls that improve efficiency and client experience
- Overseeing case management and task accountability across the firm
- Establishing operational rhythms, including daily huddles, weekly scorecards, KPI reporting, and leadership meetings
- Implementing time-template planning to help every team member "plan their work and work their plan"
- Documenting, improving, and standardizing recurring processes and procedures
- Identifying operational bottlenecks and implementing practical solutions
- Managing office vendors, subscriptions, contracts, facilities, and administrative operations
- Ensuring routine operational matters are completed without constant oversight from firm leadership
Financial & Business Operations
Serve as the internal coordinator for the firm's financial operations while partnering with outside financial professionals.
Responsibilities include:
- Overseeing accounts payable and receivable
- Monitoring client payments, outstanding balances, and cash flow
- Processing deposits, expenses, and routine financial transactions
- Coordinating payroll administration and benefits support
- Tracking receipts, expenses, and financial documentation
- Preparing recurring financial reports for firm leadership and the fractional CFO
- Coordinating with the CPA, bookkeeper, payroll providers, banks, and other financial partners
- Supporting month-end close activities and maintaining organized financial records
- Assisting with budgeting, forecasting, and profitability reporting
- Using financial and capacity data to help leadership make informed business decisions
- Helping maintain strong financial controls and operational accountability
Experience with law firm trust accounting is helpful but not required. Training will be provided where appropriate.\
People & Leadership
Build an accountable, high-performing team by:
- Hiring, onboarding, coaching, and developing team members
- Creating and tracking KPIs for every role in the firm
- Holding team members accountable through clear expectations and measurable performance
- Supporting employee onboarding, offboarding, benefits, and administrative processes
- Translating the firm's core values into daily behaviors, systems, and leadership practices
- Developing people and systems so they become stronger over time
Technology & Systems
Own the firm's operational technology by:
- Administering and improving systems including Lawmatics, Clio, Microsoft 365, SharePoint, and other business platforms
- Troubleshooting common technology issues before escalating to outside IT
- Coordinating with software vendors and managed IT providers
- Managing employee access, software accounts, and system permissions
- Ensuring information flows accurately across systems
- Continuously learning and implementing technology that improves efficiency
Strategic Leadership
Partner directly with the Founder/CEO to help shape the future of the firm.
Responsibilities include:
- Turning vision into clear priorities and measurable execution
- Determining what initiatives should be built now—and what can wait
- Leading operational execution across departments
- Coordinating marketing vendors, legal vendors, and strategic initiatives
- Driving firm-wide accountability, profitability, and sustainable growth
- Continuously improving capacity, consistency, and the overall client experience

Starting salary at $100,000 base salary, depending on experience and demonstrated capability, plus bonus potential.
