General Purpose
The Intake Specialist ensures a smooth and timely intake for clients beginning service with the agency. This position is the primary contact within the agency for gathering detailed information from clients, overseeing and accurately tracking the intake process, and assigning the client to a therapist for clinical evaluation.
Classification: Full-time, hourly, non-exempt
Reports to: Director of Operations
Main Job Tasks and Responsibilities
- Interviews prospective clients for the purpose of compiling data for clinical services.
- Process paperwork for new clients efficiently and in accordance with agency procedures.
- Answer and screen inquiries from prospective clients. Verify that insurance information is current and correct.
- Collects data to help with admission process, ensuring all forms are properly signed and filed.
- Links prospective clients with agency therapist for clinical assessment.
- Maintains service control spreadsheet of all prospective and current clients.
- Ensures uploading of all clinical documents to electronic health record system.
- May have to travel to client to perform intake screen.
- Respects client dignity and confidentiality.
- General reception duties for agency, including greeting and answering main phone line.
- Other duties as assigned.
Required Knowledge, Skills, Abilities
- Demonstrates the ability to use standard office equipment such as telephones, computers, copier, fax, etc.
- Shows proficiency with Microsoft Word, Excel, and Outlook.
- Ability to be disciplined and measurably productive while unsupervised.
- Typing/Word-processing at 45-50 wpm.
- Organization and planning skills. Detail oriented.
- Work management and prioritization skills.
- Excellent written and verbal communication skills.
- Problem solving ability.
- Flexibility to work additional hours, if needed.
- Characteristics: trustworthy, independent, accurate, flexible, reliable, and deadline oriented.
Education and Experience
- Bachelor’s Degree preferred.
- Behavioral Health experience preferred.
- Minimum One Year experience in an intake setting.
