Woodside Rehab & Nursing is under new management and is now a Vierra Communities property! We are seeking a receptionist for every other weekend. The receptionist serves as the first point of contact for guests and employees, playing a crucial role in creating a welcoming and professional environment. This position is responsible for managing multi-line phone systems efficiently, ensuring all calls are answered promptly and directed to the appropriate personnel. By performing these duties with excellent phone etiquette and interpersonal skills, the Receptionist supports smooth daily operations and enhances overall office productivity. Ultimately, this role contributes significantly to the positive image and operational efficiency of the organization.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience as a receptionist or in a similar administrative role.
  • Proficiency in handling multi-line phone systems.
  • Strong phone etiquette and communication skills.
  • Basic computer skills including familiarity with office software and copy machines.

Responsibilities:

  • Answer and manage multiple phone lines, directing calls to the appropriate departments or individuals.
  • Greet and assist clients and visitors in a courteous and professional manner.
  • Perform general office duties such as filing, copying, scanning, and managing office supplies.
  • Maintain the reception area to ensure it is tidy and welcoming at all times.
  • Coordinate incoming and outgoing mail and deliveries efficiently.
  • Schedule appointments and manage calendars as needed.
  • Assist with administrative support tasks to facilitate smooth office operations.

Skills:

Managing multiple phone lines and demonstrating exceptional phone etiquette are essential for handling high call volumes while ensuring callers receive timely, accurate, and professional assistance. Receptionist and general office duties require strong organizational abilities, attention to detail, and effective time management to maintain an efficient and well-organized workplace. Proficiency in operating copy machines and other office equipment supports the seamless execution of daily administrative tasks. Professionally greeting guests and visitors creates a positive first impression and promotes a welcoming environment. Collectively, these skills enable a Receptionist to effectively support internal staff, assist external clients and visitors, and contribute to overall office productivity, efficiency, and customer satisfaction.
