Key Responsibilities
Medical Records
Maintain, organize, and secure resident medical records in compliance with state, federal, and HIPAA regulations.
Audit clinical documentation for accuracy, completion, and regulatory compliance.
Manage release of medical information per privacy policies.
Prepare documentation for audits, surveys, inspections, and regulatory visits.
Provide accurate diagnosis codes to billing for timely reimbursement.
Support Quality Assurance & Performance Improvement (QAPI) initiatives through data tracking and reporting.
Assist Infection Control with communicable disease reporting.
Participate in facility committees and regulatory interviews.
Testify in court when subpoenaed to verify record authenticity.
Monitor, stock, and maintain supply areas daily to meet departmental needs.
Process and fill requisitions from nursing and other departments.
Maintain emergency supply readiness at all times.
Keep accurate inventory records and perform routine audits.
Track expiration dates on all medical supplies.
Manage purchase orders, damaged goods claims, and vendor returns.
Verify shipments against invoices and packing slips.
Identify and report defective equipment for repair.
Ensure all supplies are properly labeled, stored, and organized.
High school diploma or equivalent required.
1–3 years of experience in medical records, central supply, or related healthcare support roles.
CNA preferred.
Strong understanding of medical terminology, HIPAA, and healthcare documentation.
Familiarity with AHCA, CMS, and general long-term care standards.
Exceptional organizational, time-management, and communication skills.
Ability to work independently, maintain confidentiality, and handle sensitive information discreetly.
Inventory management or central supply experience strongly preferred.
