About the Role

Chivalry Behavioral and Autism Therapy (CBAT) is seeking a highly organized, proactive Client Services & Administrative Coordinator to support our growing ABA therapy clinic.

This role is an important part of the day-to-day success of our clinic. You will help families navigate the intake process, coordinate client and therapist schedules, support insurance and documentation workflows, and help keep clinic operations running smoothly.

This is more than a traditional front-desk role. We’re looking for someone who takes ownership, communicates well, anticipates needs, and enjoys creating an organized and positive experience for both families and staff.


What You’ll Do

Client & Family Support

  • Serve as a welcoming and professional point of contact for families
  • Respond to calls, texts, and emails promptly and professionally
  • Guide families through intake requirements and next steps
  • Follow up consistently to help prevent delays in starting services

Scheduling & Coordination

  • Coordinate schedules for clients, BCBAs, and RBTs
  • Manage schedule changes, call-outs, cancellations, and coverage
  • Work proactively to minimize scheduling gaps and maintain continuity of care
  • Keep scheduling information accurate and up to date

Intake, Insurance & Documentation

  • Verify insurance benefits for Medicaid and commercial plans
  • Collect, organize, and track required intake documentation
  • Communicate with families, providers, and internal team members regarding outstanding items
  • Maintain accurate, organized, and compliant client records

Clinic & Administrative Operations

  • Support staff onboarding and administrative workflows
  • Maintain reports, trackers, and operational documentation
  • Assist with inventory and clinic supply management
  • Identify workflow gaps and help implement practical solutions
  • Provide general administrative support to clinical and operational leadership
Qualifications
  • 2+ years of administrative, medical office, client services, or office coordination experience
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication
  • Ability to prioritize and manage multiple responsibilities
  • Comfortable working in a fast-paced, team-oriented environment
  • Experience using scheduling systems, EMRs, or similar office technology
  • Professional, dependable, resourceful, and solutions-focused
Preferred Experience

Experience in one or more of the following is highly valued:

  • ABA or behavioral health
  • Pediatric therapy or medical office administration
  • Insurance verification and authorization processes
  • Medicaid and commercial insurance
  • Scheduling healthcare providers or therapy staff
  • Previous Behavior Technician (BT/RBT) experience
  • Daycare, preschool, or pediatric settings
