We're a mobile mechanic shop bringing vehicle repair and maintenance directly to our customers — no waiting
rooms, no towing hassles. We're looking for an organized, personable Fleet Service Coordinator to be the
scheduling backbone of our operation, keeping our mobile technicians on the road and our customers happy.
Position Overview
The Fleet Service Coordinator is the primary point of contact for scheduling and coordinating service
appointments for both individual customers and fleet accounts. You'll manage technician calendars, dispatch
service requests, communicate with customers, and ensure appointments run smoothly from booking to
completion. This role is essential to keeping our mobile operation efficient and our customers informed every step
of the way.
Key Responsibilities
• Answer incoming calls, emails, and online booking requests to schedule mobile mechanic appointments
• Build and manage daily/weekly technician schedules based on location, job type, and availability
• Coordinate with fleet account managers to schedule recurring maintenance and prioritize urgent repairs
• Confirm appointments with customers and send reminders (call, text, or email)
• Reschedule or adjust appointments as needed due to weather, parts delays, or technician availability
• Communicate clearly with technicians about job details, customer notes, and location access
• Maintain accurate records in the scheduling/dispatch system (CRM or fleet management software)
• Follow up with customers post-service to confirm satisfaction and address any concerns
• Track technician routes to minimize drive time and maximize daily appointment capacity
• Assist with basic customer service issues, billing questions, and appointment history lookups
• Support onboarding of new fleet clients by setting up service schedules and account details
Qualifications
• High school diploma or equivalent required
• 1+ years of experience in scheduling, dispatch, customer service, or a related coordination role (automotive
or fleet experience a plus, but not required)
• Strong organizational skills and comfort managing multiple schedules/calendars at once
• Clear, friendly communication skills — both written and verbal
• Comfortable using scheduling software, CRMs, GPS/mapping tools, and basic office software (Google
Workspace, Excel, etc.)
• Ability to stay calm and problem-solve when schedules change last-minute
• Basic understanding of automotive service terminology helpful, but not required (we'll train you)
• Reliable, punctual, and detail-oriented
