Department: Operations / Field Services Reports to: Branch Manager Location: Onsite at assigned client facility, Columbus, OH FLSA Status: Non-exempt, full-time Schedule: Monday - Friday 6am - 4pm; may require early shift start, occasional second/third shift coverage, and weekend support during peak periods
Position Summary
The Onsite Coordinator is our company's day-to-day presence at an assigned client facility, responsible for managing the contingent workforce placed at that site. This role owns the full lifecycle of onsite associates: orientation, attendance, performance, retention, and turnover, while serving as the client's first point of contact for staffing needs. The Onsite Coordinator partners closely with the branch recruiting team to keep open requisitions filled and with the Account Manager to protect and grow the account.
Success in this role is measured by fill rate against client demand, time-to-fill, associate retention, and client satisfaction.
Key Responsibilities
Onsite Workforce Management
- Serve as the primary onsite point of contact for all placed associates, covering start-of-shift check-ins, questions, and issue resolution.
- Conduct facility-specific orientation, safety briefings, and job-site walkthroughs for all new starts.
- Track daily attendance, no-call/no-shows, and headcount against client-required staffing levels; arrange same-day coverage for gaps.
- Coach associates on performance and conduct; document verbal and written warnings and escalate to the Branch Manager when separation is warranted.
- Conduct check-ins at defined intervals (day 1, week 1, day 30) to drive retention and surface flight risks early.
Requisition Fulfillment and Recruiting Support
- Intake new orders from the client, confirming position details, shift, pay rate, required skills, and start date; enter and maintain requisitions in the ATS.
- Partner with branch recruiters on candidate sourcing, screening, and submittals; conduct onsite interviews and working interviews as needed.
- Maintain a ready bench of qualified candidates and cross-trained associates to cover absenteeism and volume spikes.
- Monitor open requisitions for aging and proactively flag reqs at risk of going stale to the Branch Manager.
- Manage the conversion process for associates moving to permanent client employment.
Client Relationship and Communication
- Hold a standing cadence with client supervisors and site leadership to review headcount, upcoming volume, quality, and open issues.
- Prepare and deliver recurring reporting on headcount, fill rate, attendance, turnover, and open orders.
- Identify additional service opportunities and unfilled needs within the facility and communicate them to the Account Manager and Sales Rep.
- Represent the company professionally onsite and enforce our policies alongside client site rules.
Compliance, Safety, and Administration
- Verify that all associates complete required onboarding documentation, background and drug screening, and site-specific training before their first shift.
- Support I-9, E-Verify, and right-to-work documentation accuracy in coordination with the branch and corporate HR.
- Enforce PPE and safety protocols; investigate, document, and report incidents and injuries immediately per company procedure, and support workers' compensation follow-up.
- Review and approve associate time records for accuracy; resolve payroll discrepancies and answer pay-related questions promptly.
- Maintain accurate, current records in the ATS/VMS and in all client-required systems.
Required Qualifications
- 1+ years of experience in staffing, recruiting, HR, warehouse/production supervision, or a comparable high-volume, people-facing role.
- Strong organizational skills and the ability to manage competing priorities in a fast-paced environment with frequent interruptions.
- Clear written and verbal communication; comfort interacting with everyone from line associates to plant management.
- Sound judgment handling confidential employee information and sensitive personnel matters.
- High Proficiency with Microsoft Office (Outlook, Excel, Word) and the ability to learn an ATS/VMS quickly.
- Valid driver's license, reliable transportation, and the ability to travel between the client site and the branch office as needed.
- High school diploma or equivalent.
Preferred Qualifications
- Prior onsite, vendor-on-premises, or master vendor program experience.
- Experience in light industrial, manufacturing, distribution, or logistics environments.
- Bilingual (English/Spanish) strongly preferred.
- Working knowledge of employment law fundamentals, wage and hour rules, and OSHA safety basics.
Physical Requirements and Work Environment
Work is performed primarily in a client production, warehouse, or distribution environment. The role requires standing and walking the floor for extended periods, occasional lifting up to 25 pounds, and exposure to varying temperatures, noise levels, and equipment traffic.
