As our new Project Coordinator, you will be the backbone of our office, ensuring that every project flows perfectly from the initial quote to the final walkthrough. Pay Structure:

%CF; $40 per job flat rate; to be paid weekly based on previous week’s production

%CF; Tiered bonuses to be paid monthly:

%CB; Based on sales from the previous month to install rate

%A0; 4-5% = $100

%A0; 2-3% = $250

%A0; 0-1% = $600

Responsibilities

Customer Communication

%CF; Answer incoming phone calls and respond to customer inquiries professionally and promptly.

%CF; Provide customers with updates regarding project status, scheduling, permits, surveys, and

installation timelines.

%CF; Maintain regular communication with customers throughout the project lifecycle.

%CF; Address routine customer questions and escalate concerns to the Project Manager when

necessary.

Project Administration

%CF; Assist the Project Manager with day-to-day project tasks.

%CF; Create, maintain, and update project files and documentation.

%CF; Track project milestones and ensure required paperwork is completed and submitted on time.

%CF; Enter and maintain accurate project information within company software systems.

Permits HOA Processing

%CF; Help prepare and submit permit applications to local municipalities.

%CF; Assist with gathering and submitting HOA approval documentation.

%CF; Monitor permit and HOA approval status and follow up as needed.

%CF; Maintain records of approvals, permits, and project requirements.

Administrative Support

%CF; Schedule appointments and coordinate project-related activities.

%CF; Assist with document preparation, filing, scanning, and record keeping.

%CF; Support the Project Coordinator with administrative and operational tasks as needed.

%CF; Help ensure projects move efficiently through each phase of the process

%CF; Answer all calls for warranty requests and assign to Project Manager on daily basis


Requirements

Professional experience in administrative support or project coordination.

Advanced proficiency in Microsoft Office Suite and digital filing systems.

Clear and effective verbal communication skills for coordinating with clients and crews.

Strong organizational habits and the ability to track multiple moving parts simultaneously.

High school diploma or equivalent.

Experience in the construction or contracting industry is a plus.

A friendly and approachable personality that shines through in all interactions.
