We are looking for an experienced Sr. Administrative Assistant to support office operations and provide high-level administrative coordination for leaders in Bellevue, Washington. This contract opportunity is ideal for someone who thrives in a fast-paced corporate setting and brings strong organization, communication, and follow-through to daily work. The role will help keep workplace activities running smoothly through meeting support, travel coordination, vendor communication, and broad administrative assistance.
Key Responsibilities
Office Operations & Workplace Support
- Act as a primary point of contact for building management, facility service providers, and third-party vendors.
- Coordinate and resolve office maintenance requests, workspace needs, and facility-related issues.
- Manage office, kitchen, and breakroom supplies while maintaining inventory and monitoring expenses.
- Coordinate incoming and outgoing mail, deliveries, shipments, and courier services.
- Welcome visitors, candidates, clients, and business partners in a professional manner.
- Answer and direct incoming calls and general inquiries.
- Manage meeting space reservations and office scheduling needs.
- Support internal workplace communications and employee engagement initiatives.
Meetings, Events & Hospitality
- Coordinate catering and food service arrangements for meetings, training sessions, and company events.
- Assist with planning and execution of employee gatherings, leadership meetings, and special events.
- Ensure conference rooms and common areas are prepared and equipped for meetings.
- Coordinate event logistics and vendor support as needed.
Administrative & Executive Support
- Provide administrative support to senior leaders and executive support professionals.
- Assist with travel arrangements, including transportation, lodging, itineraries, and related logistics.
- Prepare and process expense reports and reimbursement documentation.
- Support calendar management and meeting coordination.
- Prepare presentations, reports, correspondence, and other business documents.
- Maintain records, databases, trackers, and administrative systems.
- Provide backup support and assist with special projects as needed.
Project Coordination & Process Improvement
- Support administrative processes that improve operational efficiency and service delivery.
- Track deadlines, action items, and recurring business activities.
- Coordinate projects and initiatives involving multiple departments.
- Research, compile, and organize information for reports and presentations.
- Identify opportunities for process improvement and recommend solutions.
