We are looking for an Accounting Assistant to join a healthcare organization in Santa Clara, California on a contract-to-permanent basis. This role is ideal for someone at the beginning of their career who enjoys keeping records organized, supporting day-to-day accounting activity, and working closely with cross-functional teams. The position offers hands-on exposure to billing, transaction processing, and administrative coordination in a collaborative onsite environment.
Responsibilities:
• Enter and maintain financial and administrative information accurately across internal records and accounting systems.
• Prepare, organize, and file business documents so materials are easy to retrieve and kept up to date.
• Assist with creating and processing client invoices while helping track billing-related details.
• Record routine financial activity in QuickBooks, including transaction entry and coding support.
• Help with accounts payable and accounts receivable tasks to support smooth daily accounting operations.
• Provide support with bank reconciliations and review records for completeness and consistency.
• Partner with operations, accounting, and research support teams on special assignments and time-sensitive requests.• At least 1 year of experience in an administrative or entry-level accounting support role; internship experience may also be considered.
• Bachelor’s degree in business administration, office administration, biology, life sciences, or a related discipline.
• Familiarity with QuickBooks through coursework, training, or practical experience.
• Working knowledge of accounts payable, accounts receivable, invoice coding, and basic reconciliation processes.
• Strong organizational skills with careful attention to detail and the ability to manage multiple priorities.
• Effective written and verbal communication skills for working with internal teams and clients.
• Mandarin language skills are helpful but not required.
• Ability to work onsite in Santa Clara, California.
