. This Long-term Contract position focuses on creating a welcoming, organized, and secure environment for employees, guests, and vendors while ensuring day-to-day workplace services run smoothly. The ideal candidate brings strong communication skills, sound judgment, and the ability to handle a variety of administrative and customer-facing tasks in a detail-oriented in-person setting.


Responsibilities:

• Welcome employees, guests, and vendors with a detail-oriented approach, manage check-in activities, and issue visitor or parking access in accordance with site security procedures.

• Guide visitors to the appropriate destination and help maintain an efficient, positive arrival experience throughout the facility.

• Coordinate reservations and logistics for dining, hospitality, and business-related activities requested by internal stakeholders.

• Submit and monitor janitorial and maintenance service requests, and work with vendors or onsite teams to resolve facility-related issues promptly.

• Address questions, concerns, and service-related problems from employees, guests, and colleagues, escalating matters when additional support is needed.

• Provide general workplace support such as ordering and organizing office supplies, assisting with meeting arrangements, and helping maintain shared equipment.

• Prepare branded documents and presentation materials that align with established visual and communication standards.

• Follow building-specific emergency and safety procedures, communicating with the appropriate contacts to support a safe environment for all occupants.

• High school diploma or equivalent with 2-3 years of experience in front desk, workplace services, hospitality, or office support roles.
• Demonstrated ability to work within established processes while applying practical judgment across a range of daily administrative tasks.
• Strong problem-solving skills with the ability to assess routine and non-routine situations and choose effective solutions independently.
• Clear and effective verbal and written communication skills, including the ability to explain detailed information to team members and visitors.
• Advanced proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
• Strong organizational skills, attention to detail, and a proactive approach to managing multiple priorities.
• Experience supporting events or onsite activities, with the confidence to represent the organization positively and interact comfortably with attendees.
• Excellent interpersonal skills and a customer-focused mindset suited to an in-person, employee- and guest-facing environment.
