Receptionist / Office Assistant


Our customer is seeking a dependable, professional, positive, and adaptable Receptionist / Office Assistant to join our team.

This is a busy office position requiring someone who can multitask, retain training, adapt to change, and work cooperatively with both management and coworkers.


Responsibilities

  • Answer and direct calls using a multi-line phone system
  • Professionally greet customers, clients, applicants, and visitors
  • Filing and general office organization
  • Run outgoing mail through a postage meter
  • Weigh letters and packages and determine appropriate postage
  • Regularly monitor and maintain funds in the postage meter
  • Perform typing, data entry, and general administrative duties
  • Create and post content for Facebook, Instagram, TikTok, and other social media platforms
  • Assist with additional office projects and responsibilities as needed
  • Learn new duties, procedures, technology, and software as company needs evolve

  • Has a good memory and ability to retain training and instructions
  • Can learn a process and apply what they have learned consistently without needing the same procedures repeatedly retrained
  • Takes notes and uses available resources when necessary to remember procedures
  • Is receptive to constructive feedback and correction
  • Can be professionally advised when something has been completed incorrectly and use that feedback to improve future performance
  • Does not take appropriate workplace feedback personally and can maintain a professional attitude when corrections are necessary
  • Understands that constructive feedback is intended to improve accuracy, performance, and the overall success of the team
  • Is flexible and adaptable when procedures change
  • Understands that a procedure may occasionally need to be modified because of technology, efficiency, customer needs, staffing, or other business circumstances
  • Can adjust to a new procedure without becoming frustrated or resistant simply because something was previously done differently
  • Works respectfully and cooperatively with coworkers and management
  • Accepts direction from management and respects established responsibilities and procedures
  • Is willing to learn new duties and software without becoming overwhelmed
  • Can work independently after receiving appropriate training while also knowing when to ask questions

Skills Required

  • Good typing and accurate data-entry skills
  • Excellent organizational skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Ability to learn new computer programs and technology
  • Social media experience with Facebook, Instagram, TikTok, and similar platforms
  • Canva or other content-creation experience is a plus

Adaptability Is Important

Change is a normal part of today's workplace. Technology changes, software changes, customer needs change, and companies periodically improve their procedures.

We need someone who can learn a process, retain what they have learned, and also understand that a process may occasionally be changed when there is a better or more efficient way of doing something.
