Job Summary
The Shipping and Receiving Clerk is responsible for accurately processing incoming and outgoing shipments, verifying receipts against purchase invoices, and maintaining accurate inventory records in MISYS. This role plays a key part in ensuring inventory accuracy across the warehouse and works closely with the Staff Accountant to ensure all received items are properly documented and invoiced.
Key Responsibilities
- Receive incoming shipments and verify contents against packing slips, purchase orders, and vendor invoices, flagging and documenting any discrepancies (short shipments, overages, damaged goods, or incorrect items)
- Enter and update receivables in MISYS in a timely and accurate manner, ensuring quantities, item numbers, and costs match supporting documentation
- Investigate and resolve inventory discrepancies by researching transaction history, physically counting stock, and identifying root causes (data entry errors, miscounts, mislabeled items, etc.)
- Coordinate with the Staff Accountant to confirm that all received items are properly matched to invoices and posted correctly, communicating status of open or held receipts
- Prepare outgoing shipments, including picking, packing, labeling, and coordinating with carriers as needed
- Maintain organized, accurate records of all receiving and shipping transactions, including supporting paperwork (packing slips, BOLs, invoices)
- Perform periodic cycle counts and assist with annual physical inventory as needed
- Maintain a clean, organized, and safe warehouse/receiving area in compliance with company safety standards
- Communicate proactively with purchasing, warehouse, and accounting staff regarding delays, discrepancies, or issues affecting inventory accuracy
Qualifications
- High school diploma or equivalent required
- 1+ years of experience in shipping/receiving, warehouse, or inventory-related role preferred
- Experience with an inventory management system (MISYS or similar ERP/inventory software) strongly preferred
- Strong attention to detail and comfort working with numbers, quantities, and documentation
- Good written and verbal communication skills, with the ability to coordinate across departments
- Ability to work with basic computer programs, including Excel and Word
- Bilingual (Spanish/English) preferred
- Ability to lift up to 50 lbs and stand/walk for extended periods
- Forklift certification a plus (or willingness to obtain)
Work Environment
- Warehouse setting; may involve exposure to varying temperatures, noise, and physical activity
- Standard schedule: Monday through Friday, 7:00 AM – 3:30 PM, with the overtime after 3:30PM some days. Typically working 40-50 hours per week.
