Administrative Office Assistant – Kailua-Kona, HI
Full-Time • $23–$24/HR DOE • Onsite • 7.5-hour Workday (M–F)
About the Role
Are you meticulous, organized, and confident working with important documents that require accuracy? Join our established Kailua-Kona team as a Real Property Documentation Specialist. You’ll play a central role in supporting final steps of real property transactions and delivering outstanding service to our clients. Our team supports Hawai‘i timeshare owners by facilitating accurate and timely ownership transfers. This role ensures proper documentation, recording, and client communication throughout the transfer process
We provide in-depth, hands-on training specific to Hawai‘i’s property and recording processes.
What You’ll Do:
Real Property Documentation:
- Prepare, proofread, and accurately record Deeds and supporting documents
- Ensure filings meet compliance and quality standards every time
- Track, scan, and route recorded materials efficiently and securely
Client Communication:
- Serve as the first point of contact for clients and partners
- Answer calls, route inquiries, and provide clear, professional communication
File & Office Administration:
- Set up new client files and maintain existing records in our internal systems
- Process incoming/outgoing mail and deliveries
- Perform document scanning, labeling, and organization
- Support general office functions and maintain orderly workspaces
