Part-Time — 30 hours per week
Compensation: $30 per hour

We are looking for a dependable, motivated, and detail-oriented individual to join our team as a Compliance and Project Coordinator. While real estate or property management experience is helpful, it is not required. We are more interested in finding someone who is smart, hardworking, organized, trustworthy, and eager to learn.

The right person will have a positive, can-do attitude and be willing to assist wherever needed. This is an excellent opportunity for someone who enjoys solving problems, coordinating projects, working with different people, and learning about real estate operations.

Position Summary

The Compliance and Project Coordinator supports the company's property compliance, capital improvement projects, and day-to-day operational initiatives.

This position will work closely with the COO, Senior Property Manager, Project Manager, and Property Management team to help keep projects organized, ensure regulatory requirements are met, coordinate with contractors and government agencies, and keep important deadlines and documentation on track.

The ideal candidate does not need to come from property management. We welcome candidates from a variety of professional backgrounds, including real estate, construction, project coordination, administration, accounting, legal, government, or other fields where organization, communication, judgment, and follow-through are important.

Key Responsibilities

Compliance & Regulatory Support

  • Assist with annual rent increase compliance for Oakland, Berkeley, and San Francisco.
  • Maintain property registrations and compliance records.
  • Prepare, post, and document required notices.
  • Coordinate city inspections and other municipal requirements.
  • Assist with code enforcement matters, violation notices, and abatement documentation.
  • Research and obtain permits, public records, and other city documentation.
  • Track regulatory requirements, deadlines, and follow-up items.
  • Learn and apply applicable local housing regulations and compliance requirements.

Project Coordination

  • Assist the Project Manager with renovation, rehabilitation, and capital improvement projects.
  • Coordinate contractor schedules, inspections, and project documentation.
  • Track permits, inspections, project milestones, and outstanding items.
  • Assist with contractor bids, material orders, and project closeout.
  • Conduct property and project site visits as needed and provide progress updates.
  • Assist with due diligence activities related to new acquisitions.
  • Communicate project status and outstanding items to management.
  • Provide regular updates to the COO and CEO.

Administrative & Operational Support

  • Maintain organized project, property, and compliance files.
  • Coordinate communication between contractors, city agencies, property managers, and internal departments.
  • Research questions and follow up with appropriate agencies, vendors, and other parties.
  • Assist executive leadership with special projects and operational initiatives.
  • Take ownership of assigned tasks and follow them through to completion.

  • A college degree or equivalent combination of education and experience.

Real estate, property management, construction, permitting, compliance, or project coordination experience is a plus, but is not required. We are willing to train the right person who demonstrates strong potential and a willingness to learn.
