Orthopedic Surgery Scheduling Coordinator & Team Lead
Job Type: Full-Time, Direct-Hire (Permanent placement on company payroll with immediate full benefits; not a temporary job)
Location: Pittsburgh, PA 15215 (On-site)
Schedule: Monday – Friday, Day Shift (Core hours between 7:30 AM – 4:00 PM or 8:00 AM – 4:30 PM; No evenings, weekends, or holidays!)
New Hire Starting Base Pay: $19.39 – $21.80 per hour (Starting pay based on experience, with clear advancement pathways as you build specialized expertise.)
Future Earning Potential: Established employees have the opportunity to earn progressive pay increases up to $29.69 per hour over time through performance, tenure, and continuous learning.
How You'll Make an Impact
- Orthopedic Surgery Coordination: Schedule in-patient and outpatient surgical procedures, pre-operative testing, post-operative visits, and hospital admission reservations for a premier orthopedic practice (including sports medicine care for athletes).
- Insurance Prior Authorization & Clearance: Obtain pre-certifications and referrals from insurance carriers (Medicare, Commercial, Workers' Comp), verify benefit details, and ensure required surgical consents and pre-op clearances are finalized.
- Team Leadership & Workflow Oversight: Serve as the lead for the surgery scheduling team—assisting with onboarding new hires, guiding daily workflows, conducting performance appraisals, and helping implement practice goals.
- Clinical Rooming & Triage Support: Assist clinical staff by taking vital signs, preparing exam rooms/instruments, accompanying patients, and managing medical record requests and pre-op chart preparation.
- Patient & Provider Collaboration: Provide clear pre- and post-op instructions to patients and families while maintaining constant communication with attending surgeons, hospital operating room staff, and clinical teams.
What We’re Looking For – Minimum Job Requirements
- Experience: Minimum 4 to 5 years of medical field experience required (OR completion of an accredited Medical Assistant program).
- Education: High school diploma or GED equivalent required (Medical Assistant certification or Associate degree preferred).
- Technical Skills: Proficiency with practice management software and Electronic Health Records (EHR) systems (Epic experience strongly preferred); working knowledge of computer databases and multi-line phone systems.
- Industry Knowledge: Deep understanding of medical terminology, orthopedic surgical scheduling, HIPAA compliance, and payer authorization rules (Medicare, Blue Cross, Commercial, Workers' Comp).
- Soft Skills: Proven team leadership, strong multitasking and prioritization abilities, excellent clinical communication, and a compassionate, professional demeanor.
