Job Summary
We are a growing company with fewer than 50 employees looking for an organized, dependable Service Dispatcher/Administrative Coordinator to join our Lancaster office.
This is not a position where you will spend your entire day doing one task at a time. You will coordinate technician schedules, answer service calls, respond to emails, communicate with customers, and handle administrative responsibilities throughout the day.
You may be halfway through routing technicians for the next day's schedule when the service line rings. You need to be able to stop, handle the customer's needs professionally, document the call correctly, and then return to scheduling without losing track of what you were doing.
The right person is organized, detail-oriented, comfortable with interruptions, and able to keep several priorities moving at once.
We have a small, close-knit office, so personality and teamwork matter. We are looking for someone who communicates well, contributes to a positive work environment, and works comfortably as part of a team.
What You'll Do
•Answer incoming customer service calls and determine what action is needed
•Gather and accurately document customer and service information
•Schedule and route service technicians efficiently
•Adjust schedules when emergencies, cancellations, or unexpected issues arise
•Prioritize service requests based on urgency and customer needs
•Communicate schedule and service information to technicians and other team members
•Monitor service activity and follow up on outstanding items
•Stay on top of incoming emails and respond promptly and professionally
•Maintain accurate customer, scheduling, and service records
•Switch between phone calls, scheduling, email, and administrative work without losing track of details
•Help keep daily office and service operations organized

•Ability to learn new software, procedures, and processes quickly
•Dependable attendance and a strong work ethic
