⚖️ Hiring: Case Coordinator / Legal Secretary (8–12 Month Contract)

Location: Los Angeles, CA (Hybrid — Minimum 3 days/week on-site)

Are you a skilled legal administrative professional with top-notch organizational skills and a knack for seamless case management? We are actively seeking a Case Coordinator / Legal Secretary to support dispute resolution operations in Los Angeles!

In this key role, you will be the operational backbone of arbitration cases—managing arbitrator appointments, scheduling hearings, maintaining electronic case systems, and ensuring a seamless experience for all parties involved. What We’re Looking For:

  • Experience: High School Diploma + 4 years of related legal/administrative experience (or equivalent combination). Bachelor’s degree preferred.

  • Technical Skills: Advanced proficiency in desktop computer suites, electronic filing, data entry, and digital file management.

  • Core Strengths: Exceptional organization, strong written and verbal communication, and the ability to independently prioritize routine tasks.

  • Local Capability: Ability to work on-site at the Los Angeles office at least 3 days per week.

Responsibilities

Key Responsibilities:

  • Arbitration & Case Operations: Appoint and replace arbitrators following established procedures, process incoming Arbitrator Oaths and Orders, and review lists for potential conflicts.

  • Scheduling & Logistics: Coordinate, schedule, and send formal notifications for pre-hearing conferences, telephonic meetings, and hearings. Reserve and prepare on-site hearing rooms and off-site locations.

  • Case & File Management: Maintain electronic database records, input case notes, process ODR Portal memos, and manage incoming communications via central inboxes.

  • Financial & Administrative Support: Review and process arbitrator expense reports and vendor/hotel invoices for Finance. Fulfill digital recording requests and assist with cross-trained functions.
