Bid Coordinator (Contract-to-Hire)

Location: Westlake, OH Job Type: Contract-to-Hire Pay: $18-$22/hour Schedule: Full-time, Monday-Friday, 40 hours/week Work Environment: 100% On-Site

About the Opportunity

We are seeking a highly organized and detail-oriented Bid Coordinator to join a growing team that supports government and municipal contract opportunities. This is an excellent opportunity for an administrative professional who enjoys managing multiple priorities, meeting deadlines, and working in a collaborative team environment.

No prior bid experience is required. We are willing to train a strong administrative candidate with excellent attention to detail, time management skills, and a willingness to learn.

Key Responsibilities
  • Research, review, and prepare responses to government and municipal bid solicitations.
  • Ensure bid submissions are accurate, complete, and submitted by required deadlines.
  • Gather and organize bid documentation, specifications, addenda, and supporting materials.
  • Prepare bid packages and coordinate submission schedules.
  • Complete bid bonds, insurance certificates, and compliance-related documentation.
  • Manage multiple bids simultaneously while maintaining strict deadlines.
  • Monitor procurement portals, bid platforms, email, and mail communications for opportunities and updates.
  • Collaborate with internal teams regarding pricing, product availability, compliance requirements, and bid questions.
  • Maintain vendor registrations, certifications, renewals, and prequalification documents.
  • Conduct follow-up activities related to bid awards, bid tabulations, and competitive intelligence.
Qualifications
  • 1+ year of administrative support experience in a professional office environment.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage competing priorities and meet deadlines.
  • Team-oriented mindset with a willingness to assist others when needed.
  • Proficiency with Microsoft Office, including Outlook and Excel.
  • Experience with procurement systems, bid portals, or government contracting is a plus, but not required.
  • High school diploma or equivalent required; college degree not required.

Schedule & Work Environment
  • Full-time, 8-hour shifts.
  • Flexible start time between 7:00 AM and 9:00 AM.
  • Consistent daily schedule required.
  • Business casual dress code.
  • On-site training and onboarding provided.
Pay Details: $18.00 to $22.00 per hour
