Location: Downtown Los Angeles, CA
Schedule: Full-Time | Monday–Friday | 7:30 AM–4:30 PM
Work Environment: 100% Onsite
About the Opportunity
A well-established private investment firm is seeking a highly organized and professional Office Coordinator to support daily office operations. This role serves as the central point of contact for administrative functions and helps ensure a productive, welcoming, and efficient workplace.

Responsibilities
Office Operations
- Maintain office supplies, kitchens, conference rooms, and common areas
- Coordinate with vendors including cleaning services, deliveries, and IT support
- Serve as liaison with building management regarding maintenance and office access
- Help ensure smooth day-to-day office operations
Reception & Administrative Support
- Answer incoming phone calls
- Welcome visitors and coordinate deliveries
- Prepare workspaces for guests and meetings
Executive Support
- Coordinate calendars and travel arrangements for senior leadership
- Schedule meetings and reserve restaurants or meeting venues
- Assist with logistics for board meetings and executive events
- Reduce administrative burden so leadership can focus on business priorities
Events & Special Projects
- Coordinate company events and team lunches
- Assist with meeting logistics and special projects
- Provide administrative support to affiliated charitable initiatives as needed
Qualifications
- 0–10+ years of administrative, office coordination, or executive support experience
- Strong organizational skills and attention to detail
- Professional communication and interpersonal skills
- Comfortable using Outlook, calendars, printers, conference room technology, and other office systems
- Ability to manage multiple priorities while maintaining confidentiality
- Experience within financial services, professional services, law firms, family offices, or nonprofit organizations is a plus
