Administrative / Data Entry Associate

This role is responsible for the accurate and timely entry, review, and verification of project-related expenses. The ideal candidate thrives in a structured, fast-paced environment and takes pride in precision, consistency, and accountability.

Schedule:
Monday–Friday, 7:30 AM – 4:00 PM PT

Key Responsibilities

• Accurately enter project expenses into the company’s project management platform on a daily basis
• Review transactions for completeness, accuracy, and compliance prior to syncing
• Identify missing, inconsistent, or incorrect information and flag items for follow-up or escalation
• Collaborate with the Field Coordinator, Finance Manager, and Project Teams to resolve discrepancies
• Support special projects as needed
• Provide general administrative and office support to ensure efficient daily operations
• Adhere to company policies, procedures, and deadlines while demonstrating flexibility as priorities evolve
• Cross Train/Backstop with AP Administrative Assistant

Qualifications

• High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
• Minimum of 1 year of experience in data entry, administrative, or clerical roles
• Construction or service industry experience is a plus
• Proven ability to process high volumes of data with accuracy and efficiency
• Strong attention to detail and organizational skills
• Ability to multitask and work effectively in a fast-paced environment
• Proficiency in Microsoft Excel, Google Sheets, or similar tools
• Experience with Expense Management Platforms
• Strong written and verbal communication skills
• Customer-service mindset with strong problem-solving abilities
• Ability to work independently while meeting productivity and quality standards
