Position Overview
Established Houston civil litigation firm seeks an experienced Litigation Legal Secretary to provide comprehensive administrative and legal support to attorneys in a fast-paced defense litigation environment.
Required Qualifications
Experience
- 5 + years of current litigation and/or personal injury legal secretary experience
- Demonstrated stable work history
- Experience supporting multiple attorneys preferred
Technical Proficiency
- Required: Proficient in MS Office Suite (Word, Outlook, PowerPoint, Excel)
- Required: Strong working knowledge of document management systems (iManage or similar platforms)
- Required: Electronic court filing experience in both Texas state and federal courts (e-filing systems)
- Experience with legal calendaring/docketing software preferred
- Knowledge of Adobe Acrobat for document preparation
- Typing accuracy at minimum 60 wpm
Knowledge & Skills
- Solid understanding of Texas state and federal court rules and procedures
- Knowledge of civil litigation procedures, discovery, and trial preparation
- Strong organizational abilities and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to prioritize competing demands and meet strict deadlines

Essential Responsibilities
Litigation Support
- Provide comprehensive administrative support to assigned attorneys and team members as needed
- Draft routine notices, pleadings, and discovery materials; create shells/templates for pleadings and discovery
- Prepare and organize written discovery materials, responses, and related documents
- Edit and redline contracts and other draft documents
- Proofread legal documents for accuracy, grammar, and formatting consistency
Trial & Hearing Preparation
- Assist with trial, hearing, and deposition preparation
- Prepare and organize binders, exhibits, and other trial materials
- Coordinate logistics for depositions, mediations, hearings, and court appearances
Court Filing & Calendar Management
- Electronic filing in both Texas state and federal court e-file systems
- Maintain accurate calendaring of all deadlines, court dates, and appointments
- Monitor and implement Scheduling Orders and Docket Control Orders
- Correspond with courts, opposing counsel, mediators, and other parties as requested
File & Document Management
- Create, maintain, and systematically organize electronic and physical files using iManage and standard file management systems
- Organize and store all pleadings, discovery, deposition transcripts, correspondence, and case-related materials
- Scan, profile, and manage case documentation
Billing & Administrative Support
- Enter time entries for billing, including use of client-required task/activity codes
- Assist with preparation and editing of invoices
- Coordinate travel arrangements and conference calls
- Perform all other administrative tasks as requested
Additional Requirements
- Notary: Must be a current notary public or obtain notary commission within 90 days of hire
- Schedule: Monday–Friday, 8:30 AM – 5:30 PM; occasional after-hours/weekend availability required for trials, hearings, emergency matters, or urgent deadlines
