Position Overview
Litelab is seeking a highly organized and motivated Project Coordinator to support our Project Management and Sales teams. In this critical role, you'll be the driving force behind smooth project execution, ensuring information flows seamlessly from quotation through project delivery.
The ideal candidate enjoys working in a fast-paced environment, managing multiple priorities, and collaborating across departments to deliver exceptional customer experiences. What You'll Do
As a Project Coordinator, you will:
- Provide administrative and operational support to Project Managers and the Sales Department.
- Prepare customer quotations, process orders, and follow up on active bids.
- Maintain and update quote databases to ensure information remains accurate and current.
- Manage project folders and department databases, including data stored within the company's ERP system.
- Support Project Managers throughout the project lifecycle, including quoting, order entry, approvals, releases, and delivery.
- Accurately enter sales orders and process purchase orders within 24 hours of receipt.
- Coordinate drawing schedules with Engineering to support project approvals and releases.
- Review and analyze project documentation, including architectural drawings and specifications relevant to Litelab's scope of work.
- Collaborate with Project Managers to ensure data accuracy and project consistency.
- Update project orders during release to reflect complete project scope and product requirements.
- Provide exceptional customer service while handling administrative needs for the Sales Department.
- Create detailed product and parts breakdowns from engineering documents for quotations and order processing.
What We're Looking For
Qualifications
- Associate's degree and 3-5 years of relevant experience, or an equivalent combination of education and professional experience.
- Previous experience in sales support, project coordination, customer service, or a related administrative role.
Skills & Attributes
- Strong organizational and time-management skills with the ability to manage multiple priorities successfully.
- Excellent attention to detail and commitment to accuracy.
- Professional communication skills, both written and verbal, with strong customer interaction abilities.
- Ability to follow written and verbal instructions while working independently and collaboratively.
- Proficiency with Microsoft Office applications and the ability to quickly learn new software and ERP systems.
- Basic mathematical and analytical skills.
- Positive attitude and willingness to take on new challenges and responsibilities.
- Ability to interpret technical documents, architectural drawings, and project specifications is a plus.
