We are seeking a dynamic Executive Assistant to serve as a trusted partner to leadership in a fast-paced, globally connected organization. In this high-impact role, you'll coordinate complex calendars across multiple time zones, anticipate challenges before they arise, and help drive executive productivity at every level. The ideal candidate is resourceful, tech-savvy, and confident navigating competing priorities while maintaining a polished, professional presence.


Responsibilities:

• Coordinate executive calendars by organizing meetings, prioritizing requests, and balancing both immediate demands and longer-range planning needs.

• Arrange domestic and international travel, including flights, lodging, ground transportation, dining reservations, and meeting spaces, while accounting for time zone differences and itinerary changes.

• Serve as a resourceful problem-solver by anticipating issues, identifying practical solutions, and leveraging internal and external contacts to address urgent needs.

• Prepare, review, and organize business documents, correspondence, and administrative records with a high level of accuracy and confidentiality.

• Support day-to-day office and executive administrative functions, ensuring timely follow-up on action items and smooth communication across teams and global stakeholders.

• Assist with financial and clerical tasks such as invoice handling, data entry, and coordination related to accounts payable and accounts receivable activities.

• Use business software and office technology effectively to track information, maintain schedules, and support reporting and documentation needs.

• At least 5 years of experience in an executive support or closely related administrative role.
• Demonstrated success managing complex calendars and coordinating shifting priorities for senior leadership.
• Experience booking and managing international travel arrangements in a business setting.
• Strong problem-solving skills with the ability to act independently and use relevant networks to achieve results.
• Comfortable working with modern office technology and digital tools, with recent experience in a technology-enabled workplace.
• Background supporting leaders within a large-scale or globally active organization is preferred.
• Familiarity with administrative and clerical accounting support, including invoice processing, data entry, accounts payable, accounts receivable, or QuickBooks, is an asset.
