We are looking for a detail-oriented Legal Secretary to support legal records and administrative operations for our client in Portland, Oregon. This Contract position focuses on handling court-related documentation, maintaining accurate case information, and ensuring records are processed efficiently across multiple systems. The ideal candidate is organized, dependable, and comfortable working with legal documents while coordinating with internal staff and external stakeholders.


Responsibilities:

• Prepare, review, and process certified orders along with related agency documentation in accordance with established procedures.

• Receive expungement materials, scan and upload records, and monitor each item through the required processing steps.

• Organize digital files within shared network locations and quickly retrieve documents needed for ongoing legal and administrative work.

• Verify information against the district attorney case management database to confirm that records are complete, accurate, and up to date.

• Enter case and document data into designated systems with a high degree of precision and consistency.

• Manage electronic records by scanning, indexing, and attaching documents within case management platforms such as eCourt and PbK.

• Use Microsoft Teams, Outlook, Word, and Excel to support daily correspondence, document preparation, tracking, and coordination tasks.

• Submit legal documents through electronic filing systems while meeting procedural and deadline requirements.

• Communicate professionally with court personnel, agency staff, and other partners to resolve questions and support timely document handling.

• Previous experience in a legal secretary, legal administrative, or comparable clerical support role.
• Demonstrated ability to work accurately with court filings, electronic records, and data entry tasks.
• Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams.
• Familiarity with e-filing practices, court documentation, and case management systems such as eCourt or similar databases.
• Strong organizational skills with the ability to manage multiple assignments and meet deadlines in a fast-paced environment.
• Careful attention to detail and the ability to follow legal documentation standards and established procedures.
• Effective written and verbal communication skills, with a detail-oriented approach to internal and external interactions.
