Workplace Experience Coordinator
Job Description
We are looking for a Workplace Experience Coordinator to support a busy office environment in Knoxville, Tennessee. This Long-term Contract position will serve as a key point of contact for employees and visitors, helping create an organized, welcoming, and well-maintained workplace experience. The role combines front desk support with daily coordination of shared spaces, refreshments, and meeting areas to keep the site running smoothly.
Responsibilities:
• Greet employees, guests, and vendors in a courteous manner while managing the front desk experience throughout the day.
• Answer and direct incoming calls using a multi-line phone system, ensuring messages and inquiries reach the appropriate contacts promptly.
• Maintain pantry and common areas by monitoring supplies, keeping spaces orderly, and coordinating replenishment as needed.
• Prepare catering arrangements for meetings and events, including setup before gatherings and cleanup once they conclude.
• Reset conference rooms and shared workspaces between meetings so they are clean, stocked, and ready for the next group.
• Support daily workplace operations in partnership with onsite team members to help accommodate fluctuating office attendance and guest activity.
• Assist with hoteling and shared seating coordination to ensure workspaces are available and properly prepared for employees using the office.
• Provide general receptionist and administrative support that contributes to a smooth and positive onsite experience.
• Previous experience in receptionist, front desk, or workplace support roles within an office setting.• Ability to manage a multi-line phone system and handle inbound calls with accuracy and courtesy.
• Strong interpersonal skills with a customer-focused approach to assisting employees, visitors, and internal teams.
• Comfortable multitasking in a dynamic environment while maintaining attention to detail and organization.
• Capable of supporting meeting rooms, pantry areas, and catering logistics as part of daily office operations.
• Reliable communication skills and an effective presence when representing the workplace at the front desk.
• Flexibility to work effectively in an onsite environment with changing daily priorities and occupancy levels.
