We are looking for a detail-oriented Administrative Assistant to join a contract position supporting an active adult community in California. This role is well suited for someone who enjoys interacting with residents, visitors, and service providers while keeping office activity organized and running smoothly. The ideal candidate brings strong administrative coordination skills, sound judgment, and a thoughtful approach to customer service in a busy office setting.
Responsibilities:
• Welcome residents, vendors, board members, and guests with courteous, timely assistance and a detail-oriented approach.
• Coordinate daily administrative activities for the office, ensuring routine tasks are completed accurately and efficiently.
• Manage community-related paperwork, including applications, permits, and supporting documents, while tracking status updates as needed.
• Record and monitor parking citation information, keeping documentation current and organized.
• Review submitted forms for accuracy, completeness, and compliance before routing or filing them.
• Maintain orderly paper and digital filing systems so records can be retrieved quickly and reliably.
• Draft letters, reports, and other business documents using Microsoft Word and Excel.
• Enter data, update office records, answer inbound calls, and provide support on additional projects as priorities shift.• Prior experience in an administrative assistant, receptionist, or general office support role.
• Strong interpersonal skills with the ability to deliver high-quality service in a resident-facing environment.
• Excellent attention to detail and the ability to manage records, forms, and documentation with precision.
• Proficiency in Microsoft Word and Microsoft Excel.
• Experience with data entry and handling multiple administrative tasks in a fast-paced setting.
• Ability to prioritize work independently while maintaining professionalism and confidentiality.
• Clear verbal and written communication skills with a calm, tactful, and service-oriented approach.
