Billing Specialist

Position Summary

We are seeking a detail-oriented Client Billing Specialist responsible for preparing accurate and complete client invoices, maintaining client billing requirements, and assisting with collections.

The ideal candidate is highly organized, inquisitive, and a strong communicator who takes ownership of their work and follows through to resolution.

Key Responsibilities

• Prepare and review client invoices for accuracy and completeness.
• Verify all labor, materials, subcontractors, equipment, and miscellaneous charges are properly billed.
• Review job documentation and identify missing or inconsistent information.
• Work with internal teams to research and resolve billing discrepancies.
• Submit invoices and supporting documentation through client portals.
• Research and resolve client billing questions.
• Monitor assigned accounts and assist with collections to ensure timely payment.
• Maintain client billing information, tax status, contacts, and account requirements.
• Maintain client compliance requirements through third-party portals.
• Correct rejected invoices and resolve issues that may delay payment.
• Maintain accurate client files and databases.
• Cross-train within the Accounting department and provide support as needed.

Qualifications

• Strong attention to detail and organizational skills
• Excellent written and verbal communication skills
• Naturally inquisitive with strong problem-solving and follow-through
• Comfortable communicating with clients and internal teams
• Able to manage multiple priorities and deadlines
• Proficient with accounting systems, spreadsheets, databases, and online portals
• Prior billing, accounts receivable, or accounting experience preferred
• Experience with third-party work order and invoicing portals such as ServiceChannel and Corrigo is a plus
