We are looking for a dependable and highly organized Executive Assistant to support a business owner in Illinois. This contract-to-permanent opportunity is ideal for someone who can manage competing priorities, maintain discretion, and bring structure to both business and personal coordination. The position is fully onsite and requires an experienced, detail-oriented individual who communicates clearly, stays ahead of deadlines, and helps keep daily operations running smoothly.

Responsibilities:
• Coordinate a dynamic schedule by arranging meetings, appointments, and time blocks that support productivity while accommodating personal commitments.
• Screen incoming messages, requests, and inquiries, then prioritize responses and route urgent matters appropriately.
• Capture follow-up items from meetings and conversations and help ensure tasks, deadlines, and commitments are completed on time.
• Oversee travel planning and logistics, including booking arrangements and preparing itineraries as needed.
• Monitor social media interactions across platforms and respond directly or elevate issues when attention is required.
• Provide responsive support to employees, customers, vendors, and external partners while maintaining a high standard of service.
• Compile weekly information from business systems and assist with spreadsheet reporting related to sales activity, customer patterns, and historical performance.
• Prepare and refine internal resources such as communication templates, training documents, handbook updates, reference materials, and mission-based content.
• Help maintain recurring operational checks for equipment and systems and contribute to special assignments and workflow improvements as priorities evolve.• At least 2 years of experience in an executive assistant, personal assistant, or similar high-level administrative support role.
• Strong ability to manage calendars, coordinate executive meetings, and handle travel arrangements with accuracy and efficiency.
• Excellent written and verbal communication skills, including strong grammar, professionalism, and sound judgment.
• Proven ability to stay organized, manage multiple priorities, and adapt quickly in a fast-paced environment.
• High level of discretion and comfort handling sensitive business and personal information.
• Confidence working independently, anticipating needs, and building a trusted working relationship with an executive.
• Proficiency with spreadsheets, reporting, and common workplace tools such as Google Workspace, Slack, Trello, Square, and social media platforms, or the ability to learn them quickly.
• Bachelor’s degree from a four-year college or university preferred.
