Position Overview
We are seeking an experienced Full-Charge Bookkeeper or Accountant to manage our organization’s payroll and bookkeeping functions. The ideal candidate will be detail-oriented, organized, and experienced with ADP Workforce and QuickBooks Online. The ideal candidate will be responsible for payroll, accounts receivable, accounts payable, and daily financial operations to ensure accurate reporting, timely payments, and compliance with accounting policies. This position plays a key role in maintaining accurate financial records, supporting the accounting department with reliable financial data, and ensuring efficient, compliant handling of all assigned in-house accounting functions.
Key Responsibilities
Payroll Duties
• Manage the full payroll workflow to ensure all transactions are processed accurately and on time.
• Process and integrate employee time and attendance data accurately into the payroll system.
• Review and process payroll and timesheet data accurately within the payroll system.
• Reconcile payroll prior to transmission and validate confirmation reports.
• Ensure proper taxation of employer-paid benefits and payroll taxes.
• Process accurate and timely quarterly and year-end reporting.
• Investigate and correct payroll discrepancies.
• Enter and process payroll deductions, wage garnishments, and other court-ordered payments.
• Assist employees with payroll-related inquiries, including pay discrepancies and ADP access issues.
• Process off-cycle manual checks/off-cycle payroll as needed.
• Collaborate with Group Home Managers to resolve timecard issues.
• Generate required payroll reports and save in our online filing system.
• Maintain and update records for rate changes, new hires, terminations, and benefit deductions.
• Stay current on all payroll tax laws and compliance requirements.
• Create standard and custom reports in ADP as needed.
• Perform other payroll and administrative tasks as assigned by management.
Bookkeeping Duties
• Record daily financial transactions and maintain accurate bookkeeping records.
• Manage accounts receivable and accounts payable ledgers, including invoicing, and billing summaries.
• Receive, deposit, and post client checks; reconcile deposits to the ledger and coordinate follow-up on any NSF/returned checks with the client.
• Review, schedule, and process vendor payments while maintaining positive vendor relationships and ensuring all bills are paid promptly.
• Utilize QuickBooks to prepare and distribute vendor checks in accordance with payment schedules and approval processes.
• Handle petty cash disbursements and reconcile balances monthly.
• Utilize bank, credit card, and payroll statements to accurately verify, record, categorize, post and reconcile financial transactions in QuickBooks Online, maintaining up-to-date and reliable financial reporting.
• Generate and analyze reports for management review.
• Perform fact-checking and notify the Accountant of any discrepancies.
• Conduct monthly visits to group homes to collect and organize petty cash records; maintain digital and physical files.
• Manage Representative Payee accounts for individuals in group homes.
• Process and review travel, mileage, and expense reports.
• Assist in month-end and year-end closing processes.
• Ensure quality control and compliance in financial transactions and reporting.
• Perform other accounting duties and special projects as assigned.
Qualifications
• Associate’s degree in Accounting, Finance, or Business (Bachelor’s preferred).
• 2–5 years of experience in bookkeeping, payroll, and administrative functions.
• Proficiency in QuickBooks Online and ADP Workforce Now and BILL.
• Intermediate to advanced Excel skills (data entry, formulas, reporting).
• Strong attention to detail, organizational, and communication skills.
• Ability to handle confidential information with discretion.
• Experience in group home environments is a plus.
