Marketing Proposal Coordinator
Job Description
We are seeking a strategic, highly organized, and deadline-driven Marketing and Proposal Coordinator to join our San Antonio studio. Our firm focuses entirely on the critical upfront phase of the built environment: architectural programming, pre-design, strategy, feasibility, and master planning support. In this role, you will take ownership of our proposal process and brand positioning, collaborating directly with principals to translate complex data, spatial analytics, and strategic visioning into compelling narratives that win clients and elevate our firm's public profile.
Key Responsibilities
Strategic Pursuit & Proposal Leadership (50%)
- Own the end-to-end development of qualifications and proposals, for consulting, feasibility, programming, and master planning scopes.
- Drive strategy meetings with principals to establish the unique win-themes for data-driven, strategic pursuits.
- Coordinate with internal strategists and external specialist sub-consultants (to secure necessary data and narratives.
- Write original, highly persuasive proposal content that clearly articulates our strategic methodology, ROI for clients, and visioning process.
- Design high-end, clean graphic layouts for proposals, shortlist interviews, and client pitch decks.
Thought Leadership & Brand Communications (30%)
- Position the firm as a premier thought leader by publishing white papers, case studies, and insight articles across our website, newsletters, and social media channels (LinkedIn).
- Manage the visual asset pipeline, transforming complex diagrams, data visualizations, and GIS/mapping graphics into marketing-ready materials (no traditional architectural photography required).
- Lead the firm’s industry award strategy, focusing on planning, research, and organizational excellence awards rather than built-design accolades.
Business Development Support & Market Intelligence (20%)
- Monitor regional procurement portals to proactively identify upcoming municipal master plans, university programming studies, and large-scale public/private sector feasibility leads.
- Oversee the firm’s CRM database, tracking client relationships, developer networks, and hit rates for early-stage consulting services.
- Plan and execute firm participation in industry events, urban planning panels, and commercial real estate (e.g., ULI, NAIOP) functions.
Qualifications & Skills
- Education: Bachelor’s degree in Marketing, Communications, English, Architecture, or a related field.
- Experience: 3–5 years of professional marketing experience, with at least 2 years in professional services marketing (A/E/C, real estate consulting, or management consulting).
- Software Mastery: Advanced proficiency in Adobe InDesign is mandatory; strong skills in Photoshop and Illustrator for translating data into visuals.
- Proposal Acumen: Proven track record of independently managing and formatting proposals for consulting, planning, or advisory services.
- Communication: Exceptional storytelling skills; ability to confidently interview strategists, researchers, and technical staff to extract clear project case studies.
- Project Management: Exceptional ability to establish production schedules and hold senior leadership accountable to deadlines.
