Executive / Administrative Assistant
Job Description
Well established fire protection contracting company in the Anaheim area has immediate opening for a full-time, hardworking executive administrative assistant.
Position Overview & Expectations:
The Executive Assistant position requires exceptional organizational skills and advanced computer (Word, Excel, Outlook) proficiency. This position requires a person who is professional in a relaxed office environment, has residential construction background, executive assistant experience, and able to prioritize multiple tasks within their workday.
The Executive Assistant must work effectively with other managers (be a team player), and juggle projects efficiently; work independently taking initiative, using sound judgment and reasoning to complete the tasks quickly and successfully.
Key Contributions:
· Contribute to the effectiveness of the company owners by saving time and taking a proactive approach to address any tasks as needed.
· Support to executives and department managers with contract administration, option coordination, change orders & purchase order follow up.
· Daily client correspondence/follow up when directed.
· General front-end related assistance to key customers.
· Typing from verbal/written copy and transcription of letters, memos, and reports.
· Marketing coordination- prepare marketing collateral and assist Sales Executive Assistant with any Marketing tasks.
· Gather and prepare information for Management team as needed.
· Any office organization, office design, office interior change and any job duties and projects as assigned.
Required Qualifications:
· Previous experience in assisting a company executive is required.
· Previous experience in residential construction industry is required.
· Experience project coordination and reading residential plans a plus.
· Familiar with downloading plans, documents, etc. from online sources a plus.
· Advanced computer software: Word, Excel, Outlook, Intuit QuickBooks, etc.
Compensation, Benefits & Hours:
· Wage range is $30-$35 per hour, depending on level of experience.
· Full benefits- Including paid vacation, paid holidays, paid sick, 401k, medical & dental.
Hours of operations are 7:00am-4:00pm Monday thru Friday.
Residential Fire Systems Inc. is a subcontractor to the residential construction industry that designs, engineers, & installs fire sprinkler systems and fire alarm systems. We design & install these systems in Single Family Residential Tracts, in Multi-Family condominiums and apartments, and in Custom homes in the 6 counties of Southern California: Ventura, Los Angeles, San Bernardino, Riverside, Orange, and San Diego.
