NSA Solutions Group is looking for an outstanding individual to join our growing team in Bryan/College Station!

NSA Solutions Group is a Managed Services Provider delivering a wide range of technology and security services to clients in the Bryan/College Station area and across Texas. We are a small but fast-growing company, and our team of four is looking for the right person to help us stay organized, serve our clients well, and continue to grow.


This is not a sit-back-and-wait-for-instructions kind of position. You will be the administrative hub of the company: keeping the office running, helping our technicians finish the paperwork that moves completed work into billing, supporting the CEO, and making sure important details do not fall through the cracks.


What type of person are we looking for?
  • Organization Ninja - You can keep track of invoices, meetings, employee records, technician paperwork, phone calls, and the CEO's latest idea without losing the thread.
  • Friendly First Impression - You will often be the first person a client or applicant speaks with. We need someone who is warm, professional, helpful, and comfortable talking with all kinds of people.
  • Respectfully Persistent - Our technicians get busy. You must be comfortable reminding them about incomplete work orders and end-of-day reports, following up until the work is complete, and escalating serious or recurring problems to the CEO.
  • Trusted Right Hand - You will work with financial information, employee records, calendars, correspondence, and company priorities. Good judgment and discretion are not optional.
  • Process Builder - If a procedure is unclear, inefficient, or living entirely inside someone's head, you will help turn it into a process the whole team can follow.
  • Technology Comfortable - We are an IT company, so technology is part of daily life here. You do not need to be a technician, but you should be confident learning software, solving everyday computer problems, and working in systems such as QuickBooks and Microsoft 365.


What will I be working on every day?
  • Keeping the Office Moving - Answer and route phone calls, maintain organized files and documentation, schedule meetings and appointments, and keep routine administrative work from piling up.
  • Keeping Service Work Moving - Monitor technician work orders and end-of-day reports, remind team members about overdue items, follow up until required documentation is submitted, and help move closed tickets to the next billing step promptly.
  • Billing and Accounting Support - Create and send invoices, follow up on past-due accounts, enter bills and expenses, process customer payments, assist with payroll through Homebase, and coordinate with our outside accountant. Accuracy matters because small errors can become big headaches.
  • Executive Support - Manage the CEO's calendar and meetings, prepare documents and reports, handle selected calls and correspondence, track commitments and follow-ups, help prioritize incoming requests, and assist with special projects.
  • People and HR Administration - Maintain employee records, assist with recruiting and interviews, answer routine employee questions, help document policies and procedures, coordinate training and certifications, and help administer PTO, paid sick leave, and paid holidays through Homebase, our current HRIS and payroll system.
  • Improving How We Work - Establish and improve administrative procedures, maintain useful documentation, spot bottlenecks, and recommend practical ways to keep the team organized and accountable.

A helpful distinction: You will keep work moving and hold people accountable for administrative requirements, but serious employee or performance matters will be escalated to the CEO.


What are the must-haves and qualifications for this position?
  • Experienced - Prior experience in office management or executive support is important. Experience with billing, bookkeeping, or HR administration will help you get up to speed quickly.
  • QuickBooks Capable - You should have hands-on QuickBooks experience and be comfortable working with invoices, payments, bills, expenses, and routine financial records.
  • Clear Communicator - You can communicate professionally by phone, email, and in person, and you know how to be direct without being difficult.
  • Accurate and Organized - You pay attention to details, meet deadlines, document your work, and can manage several priorities without letting important tasks disappear.
  • Proactive - You notice what needs attention, take ownership, and follow through. We want someone who brings solutions, not just a list of problems.
  • Discreet and Dependable - You can be trusted with confidential financial, employee, client, and executive information.
  • Confidentiality Required - Because we support clients in medical, legal, government, and other security-sensitive industries, all employees are required to sign and comply with a confidentiality and non-disclosure agreement protecting NSA Solutions Group and its clients.
  • Able to Work with a Technical Team - Experience with an IT provider, service company, or other ticket- and billing-driven business is preferred, but strong related experience can absolutely translate.
  • Security Contractor Compliance - NSA Solutions Group is a licensed Security Contractor in the State of Texas. All employees must complete company-required screening and background checks. Where applicable, this process includes Texas Department of Public Safety Private Security Program requirements, electronic fingerprinting, and an FBI criminal history background check. You must also have a valid driver's license and an acceptable driving record, and employment is contingent upon satisfying applicable drug/alcohol screening and company-policy requirements.


Our qualification wish list
  • Experience - Three or more years in office management, executive assistance, billing/bookkeeping, HR administration, or a similar role is preferred.
  • Software - Working knowledge of QuickBooks and Microsoft 365 is strongly preferred. Experience with Homebase or a similar HRIS and payroll system is helpful, along with the ability to learn other business systems quickly.
  • Industry - Experience in a managed services provider, technology company, security company, field-service business, or professional-services environment is a plus.
  • Education - Relevant education or professional training is helpful, but practical ability, sound judgment, and a record of getting things done matter most to us.


What do I get for all the hard work I put in?


Great question. Here is the rundown:

  • The Money - This full-time position pays $22.00 to $28.00 per hour, depending on experience, qualifications, and what you bring to the table.
  • The Time - The normal schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m. We can discuss reasonable flexibility in start and end times. This is primarily an on-site position in Bryan/College Station, with occasional remote work by arrangement when the role and workload allow.
  • Paid Time Away - The position includes PTO, paid sick leave, and paid holidays in accordance with company policy. Time-off requests, available balances, and related records are managed through Homebase. We believe taking time away from work is important, even for the person who keeps the rest of us organized.
