The primary purpose of the Business Office Manager is to assist in the day-to-day accounting functions of the facility in accordance with current acceptable accounting and cost reimbursement principles relating to nursing facility operations, and as directed by the Administrator, Director of Finance, or Accountant.
ESSENTIAL DUTIES AND RESPONSIBILITIESAssist in implementing the day-to-day functions of the accounting department
Implement written policies and procedures governing accounting operations
Assist in standardizing work methods and processes
Forward invoices to appropriate departments for approval and payment
Communicate with vendors regarding invoice discrepancies or questions
Maintain resident charge records including debits, credits, and charge slips
Monitor and collect accounts receivable and report delinquent accounts
Assist in balancing accounts receivable and verifying financial reports
Assist in preparing monthly financial statements (balance sheet, income, expenses, etc.)
Prepare and mail resident and facility statements
Assist in bank reconciliations and trial balance preparation
Assist in preparing financial and statistical reports as directed
Perform computer/data processing and reporting functions as needed
Ensure resident admission contracts are completed and properly filed
Follow resident trust fund procedures and provide quarterly resident account statements
Assist with accounting system updates and process improvements
Perform clerical and secretarial duties as needed
Maintain confidentiality of all resident financial and protected health information (PHI)
Protect and uphold residents’ rights related to financial and personal information
High school diploma or equivalent required
Minimum of three (3) years’ experience in bookkeeping or accounting
Experience with Medicare and Medicaid billing preferred
Strong understanding of accounting principles and financial reporting
Excellent organizational, communication, and analytical skills
Ability to work independently and meet deadlines
Must be able to move intermittently throughout the workday
Must be able to read, write, and communicate effectively in English
Must be able to lift, push, pull, or carry up to 25 pounds
Must be able to assist in emergency evacuation procedures if needed
