Job Description:
The Conference Services Support professional will be responsible for providing high-level hospitality and administrative support to clients, visitors, attorneys, and staff. This individual will serve as a key point of contact for the organization while supporting reception, telephone coverage, conference room scheduling, meeting preparation, and a variety of client service requests.
Key Responsibilities:
- Welcome and assist clients, visitors, and staff while maintaining a professional and hospitable environment.
- Manage front desk and telephone responsibilities, including directing calls and coordinating visitor arrivals.
- Schedule and coordinate conference rooms, ensuring meeting spaces are assigned efficiently and prepared appropriately.
- Confirm meeting details and proactively communicate with meeting hosts and internal stakeholders.
- Coordinate with internal departments regarding catering, room setups, building services, deliveries, and audio/visual requirements.
- Conduct regular checks of conference and meeting spaces to ensure they are clean, organized, and fully prepared.
- Assist with a variety of hospitality requests, including transportation, food orders, printing, shredding, office assignments, and other special arrangements.
- Respond to client and attorney requests promptly while effectively balancing competing priorities.
- Maintain a polished, professional appearance and consistently deliver a high level of customer service.
- Support additional reception, conference services, and administrative needs as assigned.
Qualifications:
- 3-5 years of experience in reception, hospitality, concierge services, airline, customer service, or another high-touch client-facing environment.
- Strong verbal and written communication skills.
- Excellent organization, attention to detail, time management, and prioritization abilities.
- Ability to manage multiple responsibilities in a fast-paced environment.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Familiarity with audio/visual equipment is preferred.
- Experience with a multi-line phone or switchboard system is a plus.
- High School Diploma or equivalent required; some college preferred.
