Position Overview

The Counter Sales & Service Representative serves as the frontline face and voice of our branch operations. Bridging warehouse execution with customer service, this role assists walk-in HVAC contractors, handles phone inquiries, processes orders/returns, and ensures fast, accurate order fulfillment—including loading product into customer vehicles when needed.

This role is a key promotional stepping stone within our organization, transitioning hands-on product/inventory knowledge into direct sales and contractor relationship building.

Key Responsibilities & Duties

1. Customer Service & Counter Operations

  • Contractor Support: Greet walk-in customers, take counter orders, lookup inventory, and answer inbound sales calls efficiently.
  • Product Selection: Assist contractors with parts identification, system cross-referencing, and basic sizing questions.
  • Order Processing: Accurately enter orders into the ERP system, handle cash/credit sales transactions, and issue counter quotes.

2. Order Fulfillment & Loading

  • Staging & Loading: Pull orders as needed directly from the floor/warehouse and assist contractors with loading equipment, pipe, and supplies into their vehicles.
  • Cross-Functional Execution: Maintain seamless coordination between the front counter and back warehouse during peak morning pickup rushes. This position would entail filling warehouse picking as needed.

3. Returns & Product Processing

  • RMA & Returns: Process contractor returns, defectives, and warranty items accurately in the ERP according to company policy.
  • Inventory Control: Ensure returned merchandise is properly inspected, tagged, restocked, or staged for vendor credit.

4. Branch Maintenance & Merchandising

  • Keep the counter showroom stocked, clean, organized, and properly tagged with current promotional materials.

Key Qualifications

  • Experience: 1–2+ years of Customer service or Wholesale Operations, material handling, or stock experience preferred.
  • System Aptitude: Basic computer proficiency and willingness to learn our ERP order entry and inventory lookup systems.
  • Communication Skills: Professional, friendly customer service manner with strong verbal skills.
  • Physical Capability: Ability to lift up to 50 lbs regularly and assist in loading heavy equipment (furnaces, outdoor units, ductwork).
