Job Title: Office Manager Location-Type: Onsite, Rosemont, IL (Tuesday - Thursday) Start Date: ASAP Duration: Part time (25 hours a week) - Contract through end of year, with potential for extension; 20-25 hours per week Compensation Range: $24.86/hr - $29.25/hr Benefits: Eligible for Health, Dental, Vision, and 401K Visa Sponsorship: Not eligible for visa sponsorship Job Description: The Office Manager supports front desk operations, office administration, and cross-functional team needs to create a welcoming, professional, and well-run environment for employees, clients, and visitors. Job Summary
- Greet and check in visitors, clients, and vendors while maintaining a professional and welcoming front desk presence
- Manage incoming and outgoing mail, packages, and deliveries, including sorting, scanning, distribution, and FedEx label preparation
- Coordinate catering, room setup, technology, and post-meeting cleanup for internal meetings and events
- Reserve and manage meeting spaces, including auditorium and multipurpose rooms, for onsite meetings and large-scale events
- Maintain kitchen and common areas, including stocking supplies, tidying, and managing coffee stations and dishwasher
- Coordinate shipping of new hire welcome kits and assemble monthly onboarding materials
- Provide cross-functional administrative support, including document routing via AdobeSign, check mailings, scanning, and backup badge management
- High school diploma or equivalent
- 0-2 years of experience in an administrative, receptionist, or office support role
- Proficiency in Microsoft Office (Outlook, Word, Excel) and/or Google Workspace
- Strong organizational and multitasking skills with excellent verbal and written communication
- Ability to handle confidential information with discretion
- Associate degree or higher
- Prior experience supporting executives or multiple departments
- Experience coordinating office events, catering, or large-scale internal meetings
- Demonstrated ability to work independently, prioritize in a fast-paced environment, and proactively support team needs
