Position Summary

The Hospice Office Manager is responsible for overseeing the administrative operations of the hospice offices. This role ensures smooth day-to-day office operations while supporting the interdisciplinary hospice teams, accurate payroll processing, HR compliance, employee lifecycle management. The ideal candidate is highly organized, detail-oriented, and experienced in healthcare or hospice.

Office Manager Responsibilities

• Oversee daily office operations to ensure efficient workflow and compliance

• Serve as liaison between corporate leadership, clinical staff, and external vendors

• Maintain office supplies, equipment, and administrative systems

• Support survey readiness and audits related to HR, payroll, and administrative documentation

• Assist leadership with reports, audits, and special projects as assigned

• Administer full employee lifecycle processes including onboarding, orientation, offboarding, and personnel file management

• Ensure compliance with federal, state, and local employment laws and hospice regulations

• Maintain accurate employee records, certifications, licensure, and required training documentation

• Coordinate recruitment efforts, including posting positions, screening applicants, and scheduling interviews

• Serve as a point of contact for employee questions regarding policies, benefits, payroll, and HR procedures

• Assist with benefits enrollment, open enrollment, and employee communications

• Support performance management processes, employee relations matters, and disciplinary documentation

• Process accurate and timely payroll for all hospice employees

• Ensure proper timekeeping, PTO tracking, wage calculations, and payroll deductions

• Administer payroll changes including new hires, terminations, pay rate changes, and garnishments

• Coordinate with finance and leadership to ensure payroll accuracy and compliance

• Maintain confidentiality of all payroll and employee information

Qualifications

• Minimum of 2–3 years of experience in HR and payroll administration, preferably inhospice

• Knowledge of employment laws, payroll regulations, and HR best practices

• Experience with payroll systems, HRIS platforms, and timekeeping systems

• Strong organizational skills with exceptional attention to detail

• Ability to handle sensitive and confidential information with professionalism

• Excellent communication and interpersonal skills
