Document Control Administrator
Job Description
The Document Control Administrator supports a dynamic manufacturing operation by managing batch records, production documentation, inventory-related paperwork, and ERP data. This role works closely with Production, Customer Service, Purchasing, and Supply Chain teams to ensure documentation accuracy, coordinate inventory information, and provide administrative support across the supply chain and manufacturing functions. The position is ideal for a detail-oriented professional who enjoys wearing multiple hats and making a direct impact on daily operations in a stable, growing manufacturing environment.
Responsibilities- Maintain and control batch records, production documentation, and manufacturing records to ensure accuracy, completeness, and compliance with internal procedures.
- Perform data entry and ongoing maintenance in the ERP system to support inventory tracking, purchasing activities, and production operations.
- Coordinate inventory documentation and support production teams with accurate information related to materials, batches, and scheduling.
- Generate and process purchase orders to support purchasing and supply chain activities, ensuring timely and accurate administrative support.
- Use Microsoft Word and Excel to create, update, and manage documents, spreadsheets, and reports related to production, inventory, and purchasing.
- Scan, file, and organize quality and production documentation to maintain an efficient and accessible document control system.
- Collaborate with Production, Customer Service, Purchasing, and Supply Chain teams to resolve documentation issues and support daily operational needs.
- Assist with quality documentation and manufacturing compliance procedures by ensuring records are properly maintained and controlled.
- Manage multiple priorities in a fast-paced manufacturing environment while maintaining strong attention to detail and organization.
- Provide general administrative support to manufacturing and supply chain functions, including preparation of forms, records, and reports as needed.
- Minimum of 2 years of experience in a manufacturing environment.
- Previous experience in document control, production administration, inventory coordination, or a closely related role.
- Hands-on experience working with batch records, production documentation, or manufacturing records.
- Proficiency with Microsoft Word and Excel for document creation, data entry, and reporting.
- Experience utilizing an ERP system for data entry, inventory tracking, purchasing, or production support.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple priorities in a fast-paced manufacturing setting.
- Effective communication skills and the ability to work collaboratively in a team environment.
- Experience with administrative support tasks such as data entry, scanning, and document management.
- Background in manufacturing operations and production support.
- Experience working directly with production teams on batch record and document control activities.
- Experience generating purchase orders and supporting purchasing processes.
- Exposure to inventory management and production scheduling procedures.
- Familiarity with quality documentation and manufacturing compliance processes.
- Experience supporting supply chain, purchasing, or production operations.
- Knowledge of quality assurance practices related to documentation.
- Strong administrative assistance skills and comfort with Microsoft Office tools.
- Ability to build effective working relationships across Production, Customer Service, Purchasing, and Supply Chain functions.
This role is based 100% onsite in a manufacturing facility, working Monday through Friday from 7:00 AM to 4:30 PM. The environment offers close collaboration with Supply Chain, Production, Purchasing, and Customer Service teams and provides exposure to diverse aspects of manufacturing operations. The facility operates in a fast-paced, stable, and growing setting with opportunities for long-term growth and professional development. Work involves regular use of ERP systems, Microsoft Office applications, scanners, and standard office and production documentation tools within a structured manufacturing environment.
Job Type & LocationThis is a Contract to Hire position based out of Pottstown, PA.
Pay and BenefitsThe pay range for this position is $25.00 - $27.00/hr.
