Job Description:

We are seeking a professional and customer-focused Administrative Assistant to support a busy branch office during a 10-12 week leave coverage assignment. This role serves as the primary point of contact for visitors and clients while providing administrative, operational, and office support to branch leadership and team members. The position will also assist with the consolidation of two Charlotte office locations as the Ballantyne branch transitions into the SouthPark branch.

Role and Responsibilities:

  • Serve as the primary front desk contact by greeting clients, guests, and visitors while maintaining a professional office environment.
  • Answer, screen, and direct incoming phone calls.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Monitor office supply inventory and coordinate ordering as needed.
  • Provide administrative support to the Branch Manager and ROL, including scheduling assistance, document preparation, and follow-up coordination.
  • Support EAR Operations activities, text communications, and ESA sends.
  • Assist the Practice Manager with client service and operational workflows.
  • Partner with branch team members to complete administrative and service-related tasks.
  • Support office maintenance, organization, and day-to-day branch operations.
  • Assist with the consolidation of the Charlotte Ballantyne and SouthPark office locations.


Required Qualifications:

  • 2+ years of administrative, receptionist, front desk, office support, or customer service experience.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional demeanor and strong customer service skills.
  • Ability to work independently and collaboratively within a team environment.

Preferred Qualifications:

  • Experience supporting office operations, branch administration, or professional services environments.
  • Experience coordinating schedules, preparing documents, and supporting leadership teams.
  • Previous experience in financial services, banking, or professional office settings is a plus.
