Service Scheduler - EXP
Job Description
This Long-term Contract position is ideal for someone who enjoys balancing customer communication, appointment planning, and administrative support in a fast-paced environment. The person in this role will help keep schedules organized, respond to inbound requests, and work closely with internal teams to ensure service needs are handled efficiently.
Responsibilities:
• Coordinate service appointments by organizing technician schedules, adjusting timelines, and confirming visit details with customers.
• Respond to inbound calls and messages professionally, provide clear updates, and direct inquiries to the appropriate teams when needed.
• Maintain calendars, meeting schedules, and teleconference arrangements to support smooth day-to-day office operations.
• Partner with operations and dispatch staff to align service requests, resource availability, and job priorities.
• Prepare, file, and manage service-related correspondence, records, and documentation with accuracy and timeliness.
• Assist with materials handling and administrative follow-up to help service activities stay on track.
• Support HR-related administrative tasks, including scheduling interviews and assisting with hiring coordination as needed.
• Contribute to team collaboration by organizing conference calls, sharing updates, and helping resolve scheduling conflicts.
• Communicate basic service information clearly to customers and internal stakeholders, including matters related to HVAC service coordination where applicable.
• High school diploma or equivalent required.• Previous experience in scheduling, dispatching, office coordination, or customer-facing administrative work.
• Strong customer service and communication skills, including confidence handling inbound calls and written correspondence.
• Ability to manage multiple appointments, calendars, and shifting priorities with strong attention to detail.
• Familiarity with office procedures, filing practices, and general administrative support responsibilities.
• Comfortable working collaboratively with operations, service teams, and HR support functions.
• Basic understanding of service environments such as HVAC or field service operations is preferred.
• Ability to perform physical tasks when needed, including occasional heavy lifting.
