Reporting directly to the Chief Executive Officer, the Executive Assistant plays a vital role in helping the CEO operate at peak effectiveness and lead the organization with clarity, intention, and efficiency. This is a hybrid role based in the DC area, with roughly two days per week in our Metro Center office; days can vary depending on CEO and board meeting locations, and flexibility may be needed outside standard work hours.
CORE RESPONSIBILITIES

- Executive Support
- Manage the CEO's complex calendar, ensuring strong alignment with priorities and thoughtful sequencing of meetings.
- Serve as gatekeeper, managing incoming requests and ensuring the CEO is prepared for all meetings.
- Draft and prepare briefing materials, agendas, talking points, and follow-up actions.
- Coordinate domestic travel and complete accurate and timely expense reporting.
- Provide administrative support for key engagements, including board meetings, donor outreach, and strategic partnerships.
- Operational & Strategic Coordination
- Track, manage, and follow up on internal and external action items aligned with organizational goals.
- Lead end-to-end coordination of Board of Directors and Executive Committee meetings, including compiling agendas and meeting materials, coordinating board communications, and handling meeting logistics.
- Support coordination and communication across departments, keeping the CEO informed of key developments.
- Draft, edit, and manage professional communications on behalf of the CEO.
- Organize and support team and leadership meetings, including logistics, documentation, and follow-up.
- Provide light office operations support, including managing office supply inventory and ordering, ensuring availability of core materials and supplies.
- Confidentiality & Relationship Management
- Act as a representative of the Executive Office, demonstrating discretion, professionalism, and cultural alignment.
- Maintain confidentiality related to personnel, strategy, and financial matters.
- Build strong, respectful relationships across the organization and with external stakeholders.
- Minimum of 5 years of experience supporting a CEO or C-level executive; experience supporting a senior leader in a legislative or congressional office is highly valued.
- Outstanding time management, organization, and prioritization skills.
- Excellent written and verbal communication abilities.
- Strong attention to detail and ability to manage multiple priorities independently.
- High emotional intelligence, discretion, and sound judgment.
- Technological fluency, including calendar and project management tools (specific experience with Microsoft and Asana a plus).
