Position Description

The Meals on Wheels Administrative Assistant is a role that works hand in hand with the care management staff. The Administrative Assistant will be primarily responsible for managing routes, handling incoming calls, assisting senior center managers with food counts/submission and ordering meals, documenting/entering data into a tracking database, pulling reports, and preparing charts. The position will provide support to the department and act as support for daily and monthly tasks as assigned.

Summary of Responsibilities:

Responsible for assisting the MOW department to function efficiently on a day-to-day basis. The Administrative Assistant will have access to a digital database for tracking consumers and entering data. Work in conjunction with the care management staff to ensure accurate meal counts, report submissions, routing, no-answer follow up and provide support with state data entry and web-based reporting software. Follow up with all no-answers reported, notify emergency contacts when appropriate, assist with follow up calls.

Essential Functions:

- Ability to use active listening skills to determine when additional services or referrals are needed.

- Must be computer literate and be able to use basic data collection tools, Microsoft Word, Outlook and Excel as needed.

- Participate in staff development training as requested.

- Support department to ensure compliance with Pennsylvania Department of Aging requirements.

- Data tracking for all United Way and county reports, billings, and other compliance-related duties.

- Other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

- Bi-lingual ability required

- Must be computer literate with experience in spreadsheets and data collection

- Communicate orally with customers, clients, and the public on the phone and in person.

- Work cooperatively with other employees, clients, agencies, and the public.

- Able to adapt to constant change.

- Able to work at a fast-paced environment

- Detailed oriented

- Ability to multitask

- Work with all Microsoft Office applications.
