Position Overview

We are seeking a customer-focused Conference Coordinator to support executive meeting and event operations within a premier corporate conference center environment. This role serves as the primary point of contact for conference and meeting space reservations, event coordination, and executive support services. The ideal candidate will have a hospitality mindset, strong communication skills, and the ability to anticipate needs while delivering an exceptional customer experience.

Key Responsibilities

  • Deliver outstanding customer service.
  • Serve as the first point of contact for conference center guests, executives, employees, and visitors.
  • Manage meeting room reservations and maintain accurate schedules through the reservation system.
  • Coordinate meeting and event logistics, including room setups, catering, audiovisual support, and guest accommodations.
  • Ensure meeting spaces are fully prepared and configured at least 30 minutes before event start times.
  • Greet guests, provide tours, and offer directional assistance as needed.
  • Monitor and respond to reservation requests and shared mailbox inquiries in a timely manner.
  • Build strong working relationships with executives, administrative assistants, facilities teams, security personnel, and other internal partners.
  • Troubleshoot minor meeting and technology issues and escalate concerns when appropriate.
  • Maintain conference center appearance, cleanliness, and functionality, including submitting maintenance requests as needed.
  • Assist with beverage service setup, replenishment, and cleanup.
  • Support special projects and additional duties as assigned.
  • Excellent customer service and interpersonal skills.
  • Strong verbal and written communication abilities.
  • Ability to present information confidently and interact with executive-level stakeholders.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently and exercise sound judgment.
  • Flexible and adaptable in a fast-paced environment.
  • Ability to remain mobile for extended periods throughout the workday.
  • Ability to lift up to 50 pounds.
