PositionSummary

The Office Manager ensures the smooth, day-to-day standardized operation of the company’s office and shared workspace at our state of the art a solar module manufacturing operation. Reporting to the Plant Manager, this role owns overall coordination of office, relevant vendor and supplier relationships, office supplies and equipment, the reception and front-desk experience, and administrative support to the broader team, and supervises the Receptionist. The Office Manager partners with Operations Teams, Human Resources, Finance, and Environmental Health & Safety (EHS) to keep the workplace organized, safe, well-stocked, and welcoming. This is a hands-on, fast paced, on-site role well suited to an organized, service-oriented professional.

Essential Job Duties & Responsibilities

Office &Facilities Operations

  • Oversee day-to-day office and reception operations and upkeep of the office and shared spaces
  • Coordinate office and general area improvements and repairs with facility manager.
  • Support office access, seating, and space planning in partnership with the onsite teams.
  • Ensure common areas, conference rooms, and breakrooms are standardized, organized, stocked, and functional in line with our LEAN Operations standards
  • Work to standardize all areas and procedures in alignment with our LEAN Operating system principles, including 5S, visual workplace and standard work.
  • Support workplace safety in partnership with EHS, including supplies and basic compliance.
  • Manage relevant relationships with office and general support related vendors.
  • Order and track office supplies, relevant equipment.
  • Evaluate vendors for cost, quality, and service, and recommend changes as needed.
  • Collaborate with the Operations Team Managers to ensure staff have a safe, collaborative and welcoming office environment to work in.

Reception &Administrative Support

  • Supervise the Receptionist, providing direction, coaching, scheduling, and performance feedback.
  • Oversee the front-desk and reception experience for employees, candidates, and guests.
  • Manage incoming and outgoing mail.
  • Provide administrative support such as scheduling, travel coordination, and document preparation.
  • Maintain office records, directories, and shared calendars.
  • Provide administrative support to leadership as needed.
  • Develop presentations and reports
  • Handle sensitive and highly confidential material.
  • Drive continuous improvements in organizational efficiency

Events &Workplace Experience

  • Develop planning and full coordination of logistics for meetings, on-site events, and company gatherings.
  • Support onboarding logistics for new hires, including workspace setup, supplies, and access.
  • Help maintain a welcoming, organized, and positive workplace environment.
  • Work with Employee curator to ensure an engagement and collaboration.

Education& Experience

Education

  • High school diploma or equivalent required.
  • Associate’s or bachelor’s degree in Business Administration or a related field preferred.

Experience

  • Minimum of three years of experience in office management, administration, or operations support.
  • Experience managing vendors, supplies, and budgets preferred.
  • Direct Experience supporting C-level individuals with direct administrative support.
  • Proficiency in Microsoft Office and common office and collaboration tools.
  • Strong organizational, multitasking, and interpersonal skills with a service-oriented mindset.
  • Experience in a manufacturing, industrial, or similar environment a plus.
  • Ability to solve problems and highly adaptable
  • Strong communication skills
