Our national law firm client seeks an Office Manager to lead and manage their Miami office. This highly visible position will manage the day-to-day operations of the office, serve as a key advisor to the local management team, and play a critical role in fostering a positive work environment. This role will report to the Miami Partners in Charge and work closely with the Firm's HR and Administrative Leadership teams.

Our client is a nationally renowned litigation law firm concentrating on complex civil matters. The firm's expertise is diverse but focused in the areas of toxic tort, complex product liability, professional practices, local government, general liability, construction and commercial litigation.

Principal Duties and Responsibilities

  • Supervise, train, and develop all administrative and paralegal professionals.
  • Manage and oversee workflow coordination among legal administrative assistants (LAAs), paralegals, and office support professionals, including management of LAA and Paralegal teams, management of the office case list, management of assignments in coordination with the partners, resource allocation, and development of best practices and training protocols.
  • Serve as the liaison between the Partners in Charge and partners, associates and administrative staff.
  • Assist with attorney workflow management and business development and diversification initiatives.
  • Oversee/approve PTO requests and administrative staff timecards, monitor overtime policy, and manage hybrid schedule.
  • Oversee talent acquisition/recruiting, onboarding, offboarding, and staffing initiatives to meet current and future workforce needs.
  • Serve as the primary resource for employee relations/HR matters, investigations, policy interpretation, and workplace issue resolution.
  • Support performance reviews, coaching, corrective action, and employee development while fostering a culture of accountability and feedback.
  • Prepare the annual office budget.
  • Organize and coordinate team member events, teambuilding activities, and social gatherings to build relationships and promote camaraderie.
  • Track and review billable time entries and monitor compliance with office policies and protocols.
  • Process office administrative invoices and expenses.
  • Coordinate the use of conference rooms for trial needs, deposition, mediation, and office meetings and conferences.
  • Oversee facilities management acting as the primary contact with building management for maintenance, security and other requests.
  • Serve as the primary liaison for all vendor agreements and maintenance.

Qualifications, Skills and Abilities

  • B.A. or B.S. in a related field and five or more years of experience with legal or other professional service organizations.
  • Strong understanding of human resources and office management.
  • Experience working in a law firm and overseeing legal support positions is required.
  • Strong team management and leadership skills, with a proven ability to develop and lead teams in a client service-focused environment.
  • Excellent communications skills and ability to communicate credibly and diplomatically with all levels in an organization.
  • Ability to anticipate and strategically address challenges.
  • Ability to independently assess firm needs and develop and lead effective solutions.
  • Strong sense of accountability, taking ownership over projects and responsibilities and resolving issues proactively.
  • Ability to maintain professionalism under pressure.
