Purchasing / Scheduling Assistant

Position Overview

SmartTalent is hiring a detail-oriented and organized Purchasing / Scheduling Assistant for a custom woodworking and manufacturing company. This role supports project coordination through purchasing, scheduling assistance, vendor communication, inventory organization, and administrative support. The ideal candidate is proactive, organized, and able to manage multiple priorities in a fast-paced environment.

Location / Pay / Schedule

Location: Woodinville, WA

Pay: $27.00 – $28.00/hour DOE

Schedule: Full-Time, Monday – Friday 6am - 230pm

Potential overtime as needed

Key Responsibilities

Purchasing Responsibilities

  • Acquire and submit material samples to architects or general contractors for approval
  • Purchase materials, hardware, buyout parts, and inventory items using project specifications and approved shop drawings
  • Obtain quotes and bids from vendors and subcontractors including:
  • Stone vendors
  • Upholsterers
  • Wood finishers
  • Metal fabricators
  • Issue and manage purchase orders
  • Review invoices against purchase orders for accuracy
  • Maintain organized electronic records of:
  • Material sheets
  • Quotes
  • Purchase orders
  • Coordinate receipt, inspection, and organization of incoming materials
  • Label and organize received items for project-specific use
  • Coordinate with shipping, receiving, and shop teams to ensure materials reach project sites
  • Process returns for damaged, incorrect, or unused items in a timely manner

Scheduling Assistant Responsibilities

  • Assist project managers with scheduling coordination and task delegation
  • Coordinate long-lead materials and purchased items
  • Scan, print, copy, and distribute shop drawings as needed
  • Maintain organized batch release paperwork and project files
  • Utilize technology and organizational systems to reduce excess paperwork

Qualifications & Skills

  • Strong organizational and multitasking abilities
  • Excellent communication and follow-up skills
  • Ability to work independently and collaboratively
  • Experience with purchasing, scheduling, or administrative coordination preferred
  • Comfortable working with vendors, subcontractors, and project teams
  • Proficient with computers, scanning, file management, and office systems
  • Detail-oriented with strong accuracy skills

Physical Requirements

  • Ability to sit, stand, and move throughout the workday
  • Ability to occasionally lift and organize materials or packages
  • Ability to work in an office and shop environment as needed
