Positional Overview
Imagine Staffing is seeking an experienced Senior Administrative Coordinator to support the Johns Hopkins University Student Health & Well-Being (SHWB) division. This role serves as the operational lead for administrative functions within a busy clinical environment, ensuring efficient day-to-day operations while delivering exceptional service to students, faculty, and staff.
The ideal candidate is an organized, customer-focused administrative professional with healthcare or medical office experience who thrives in a fast-paced environment and enjoys leading workflows, coordinating multiple priorities, and collaborating across departments.
Role & Responsibility:
Tasks That Will Lead To Your Success
  • Serve as the onsite administrative lead for assigned Student Health & Well-Being clinical locations.
  • Support daily clinic operations while acting as the primary administrative resource for staff and patients.
  • Provide coverage at other Johns Hopkins clinical locations as needed to ensure continuity of services.
  • Manage complex administrative workflows within the electronic health record (EHR) system, including:
    • Appointment eligibility verification
    • Daily no-show management
    • Insurance documentation review
    • Scheduling for primary care, mental health, psychiatry, specialty services, and vaccination clinics
  • Process and coordinate medical records requests while maintaining confidentiality and HIPAA compliance.
  • Submit and monitor facilities and IT service requests, ensuring timely issue resolution.
  • Coordinate new employee onboarding by partnering with credentialing, IT, facilities, and clinical leadership.
  • Maintain a professional, organized, and welcoming clinic environment.
  • Serve as the first point of contact for students and visitors by providing exceptional customer service.
  • Answer incoming calls, schedule appointments, respond to inquiries, and coordinate communication between patients and providers.
  • Provide cross-functional administrative support for both Primary Care and Mental Health Services.
  • Train and provide backup support for administrative team members as needed.
  • Assist with provider schedule management and appointment template maintenance within the EHR.
  • Coordinate departmental meetings, training sessions, wellness initiatives, and student engagement events.
  • Assist with maintaining departmental website content and administrative communications.
  • Maintain knowledge of university policies, procedures, and operational processes.
  • Perform additional administrative and operational duties as assigned.
Skills & Experience
Qualifications That Will Help You Thrive
  • High school diploma or equivalent.
  • Several years of progressively responsible administrative experience, preferably in a healthcare, medical office, or academic environment.
  • Experience supporting multiple priorities in a fast-paced office or clinical setting.
Preferred
  • Experience working in healthcare, higher education, or student health services.
  • Experience with Electronic Medical Record (EMR/EHR) systems.
  • Supervisory, lead, or workflow coordination experience.

  • Ability to work independently while collaborating effectively with multidisciplinary teams.
