Overview


A leading firm is seeking a polished, highly organized, and service-oriented Reception Assistant to serve as the first point of contact for our Miami headquarters. This role is ideal for an individual who takes pride in delivering an exceptional client experience, thrives in a fast-paced professional environment, and enjoys supporting a collaborative team. The Reception Assistant will work closely with the Office Manager and Executive Assistants to ensure the seamless day-to-day operation of the office while maintaining the highest standards of professionalism and discretion.

Key Responsibilities

· Welcome and host clients, investors, candidates, and visitors, ensuring a warm, professional, and seamless arrival experience.

· Manage conference room bookings, meeting schedules, and guest logistics, including coordinating catering and room setup as required.

· Answer and direct incoming telephone calls, manage general correspondence, and serve as a liaison with building management, vendors, and service providers.

· Provide administrative support to the team, including coordinating travel arrangements, processing expense reports, scheduling meetings, and assisting with calendar management.

· Partner closely with the Office Manager and Executive Assistants to support office operations, internal events, and other administrative initiatives.

· Maintain reception and common areas to the highest professional standards, ensuring the office consistently reflects the firm's premium brand and culture.

· Exercise sound judgment and maintain strict confidentiality when handling sensitive information and interacting with clients, investors, and senior executives.

· Assist with special projects and other administrative duties as assigned.


Qualifications

· Bachelor's degree preferred, or equivalent professional experience.

· 2–5 years of experience in a receptionist, front office, hospitality, executive support, or administrative role, preferably within financial services, professional services, or a corporate environment.

· Exceptional interpersonal and communication skills with a polished, client-focused demeanor.

· Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.

· High level of attention to detail, professionalism, and discretion.

· Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).

· Ability to work independently while collaborating effectively with cross-functional teams.

· A proactive, positive attitude with a willingness to assist wherever needed.
