Job Description:

The Sales Administrative Representative serves as a key point of contact for customers and distributors by processing orders, responding to inquiries, and coordinating with internal departments to ensure exceptional service. This is a fast-paced administrative position that combines customer support, order management, and problem-solving. It is not a call center environment.

Key Responsibilities:

  • Process customer orders accurately and efficiently using internal systems.
  • Respond to customer inquiries via phone and email regarding orders, product availability, pricing, and delivery timelines.
  • Prepare customer quotes and assist with pricing requests.
  • Coordinate with sales, engineering, accounting, and operations to resolve customer issues.
  • Track open orders and proactively follow up on outstanding requests.
  • Research inventory availability and recommend alternative products when appropriate.
  • Investigate and resolve shipping, billing, and order discrepancies.
  • Maintain accurate customer records and documentation.
  • Assist with invoicing and administrative reporting.
  • Prioritize multiple requests while meeting departmental response time expectations.
  • Participate in ongoing product knowledge and professional development training.
  • Provide backup support to teammates and assist with special projects as needed.

Qualifications:

  • Bachelor's degree required.
  • 1–3 years of customer service experience required (retail, hospitality, food service, or office experience welcome).
  • Strong Microsoft Office skills.
  • Comfortable performing basic business math, including percentages and decimals.
  • Excellent communication, organizational, and multitasking abilities.
  • Detail-oriented with strong problem-solving skills.
  • Professional, confident, and customer-focused demeanor.
  • Stable work history with demonstrated reliability preferred.
