Job Description:
The Sales Administrative Representative serves as a key point of contact for customers and distributors by processing orders, responding to inquiries, and coordinating with internal departments to ensure exceptional service. This is a fast-paced administrative position that combines customer support, order management, and problem-solving. It is not a call center environment.
Key Responsibilities:
- Process customer orders accurately and efficiently using internal systems.
- Respond to customer inquiries via phone and email regarding orders, product availability, pricing, and delivery timelines.
- Prepare customer quotes and assist with pricing requests.
- Coordinate with sales, engineering, accounting, and operations to resolve customer issues.
- Track open orders and proactively follow up on outstanding requests.
- Research inventory availability and recommend alternative products when appropriate.
- Investigate and resolve shipping, billing, and order discrepancies.
- Maintain accurate customer records and documentation.
- Assist with invoicing and administrative reporting.
- Prioritize multiple requests while meeting departmental response time expectations.
- Participate in ongoing product knowledge and professional development training.
- Provide backup support to teammates and assist with special projects as needed.
Qualifications:
- Bachelor's degree required.
- 1–3 years of customer service experience required (retail, hospitality, food service, or office experience welcome).
- Strong Microsoft Office skills.
- Comfortable performing basic business math, including percentages and decimals.
- Excellent communication, organizational, and multitasking abilities.
- Detail-oriented with strong problem-solving skills.
- Professional, confident, and customer-focused demeanor.
- Stable work history with demonstrated reliability preferred.
